Qualifications

Responsibilities

Position Description

Far West Federal is seeking a detail-oriented Information Management Specialist to join our dedicated team supporting our federal client. The successful candidate will perform records preparation, scanning, digitization, file organization, and quality control activities critical to converting Government paper records into accurate, organized, and accessible digital files.

Key Responsibilities
  • Inspect, prepare, and organize physical records for scanning, including removing bindings, verifying page completeness and sequence, and properly orienting documents.
  • Apply established document naming conventions, forms, and file organization requirements.
  • Operate scanning equipment and related software in accordance with established Government procedures.
  • Handle sensitive records in accordance with applicable privacy, confidentiality, security, and records management requirements.
  • Perform quality control reviews of scanned documents for accuracy, completeness, clarity, legibility, orientation, and proper page sequencing.
  • Verify electronic files are accurately named, organized, formatted, and stored within designated Government network folders.
  • Complete required checklists, quality control documentation, and records digitization tracking activities.
  • Maintain and update tracking spreadsheets to document file status and production progress.
  • Conduct records research and support file identification, organization, and reconciliation activities as needed.
  • Create, format, organize, and review PDF files using Adobe and related document management tools.
  • Utilize Microsoft Office applications, File Explorer, Adobe, scanning software, and related tools to support accurate and efficient records digitization.
Qualifications
  • Education: High school diploma or equivalent required. Associate's degree or relevant post-secondary education preferred. Education may be substituted with relevant professional experience
  • Experience supporting information management, following established protocols, records management, document control, file digitization, or related administrative functions.
  • Experience organizing, maintaining, and processing electronic and physical records, including document scanning, file naming, data entry, and quality review.
  • Proficiency with Microsoft Office, Excel, File Explorer, and Adobe Acrobat, with strong attention to detail and accuracy in managing information and electronic files.
  • Ability to work on client site.
Travel

This role may necessitate travel to operational sites in various locations for the purpose of obtaining and maintaining Government provided access cards and equipment.

Eligibility Requirements

U.S. Citizenship with the ability to obtain and maintain Tier I federal background clearance
