HCA Healthcare's TriStar Hendersonville Medical Center seeks an organized Staff Assistant to provide admin support for the Imaging Services Department. You will manage front desk tasks, patient registration, and coordination with physicians, while promoting service excellence.

Qualifications

• Previous experience in a fast-paced medical setting or imaging department preferred.
• Strong organizational skills and ability to multi-task.
• BLS certification or obtained within 30 days of hire date.
• Proficiency in basic computer skills.
• Exceptional interpersonal skills to interact with patients, physicians and vendors.
• Outgoing and warm personality; ability to stay calm in stressful encounters.

Responsibilities

• Has initial contact with patients entering the department; greets patients, answers phones, and directs patients appropriately.
• Provides excellent customer service and accurate information.
• Copies insurance information and ID as needed.
• Obtains physician orders and other information from offices.
• Monitors patient wait times and ensures HIPAA compliance.
• Trains and uses Expanse, PACS Cube, and Windows-based systems to access patient data.
• Assists with mailing or sharing patient reports and documents release appropriately.
• Opens and closes department waiting areas and registers patients as needed.

Job Summary and Qualifications

As a Staff Assistant you will provide administrative / secretarial support to the department, staff and physicians that may interact with the Imaging Services Department. Responsibilities include clerical support, telephone reception, patient registration and other duties as assigned. Promotes customer service initiatives. Participates in Performance Improvement activities to ensure continuous Quality Improvement. Maintains appropriate awareness when engaging with patients, visitors, co-workers and all other customers. Promotes a supportive, team-work oriented environment. Fulfills departmental responsibilities with the long-range plan, mission, vision and values of Hendersonville Medical Center

What you will do in this role:

• Has initial contact with patients entering the department; conducts front office activities such as greeting patients, answering phones in a timely manner and directing patients to correct person; answers public inquiries appropriately; demonstrates age appropriate communication.
• Provides excellent customer service.
• Copy insurance information and ID if needed.
• Acquires physician order and other information from office.
• Monitors patient wait time.
• Complies with HIPPA.
• Proficient use of Expanse, PACS Cube, PACS and general working knowledge of Windows-based systems; researches patient information either through PACS, Expanse, Legacy System or calling physician offices.
• Assist with mailing and or power sharing patient's reports, films, or CDs and document release appropriately.
• Performs functions as assigned to open and close the department waiting areas.
• Registers patients as needed and appropriate.
• Reviews written orders for accuracy; accurately enters orders in Expanse.
• Distributes and collects patient history form; print reports as needed.
• Contact outside facilities for release of prior studies when needed.
• Contact patients as necessary.
• Makes and accepts deliveries to and from the Mailroom, Materials Management and other places as needed.
• Scan patient information into PACS as appropriate. Run next day’s schedule and other duties as assigned.
• Transports patients.

• Certifications:BLS (Basic Life Support) certification or obtained within 30 days of hire date

• Communication:Exceptional interpersonal skills to successfully interact with patients, physicians, and vendors

TriStar Hendersonville Medical Center is a 159-bed facility providing quality healthcare to Sumner and surrounding counties for more than 45 years.
