Job summary

Orange Barrel Media, LLC in West Hollywood, CA is seeking a Project Coordinator for the IKE Deployment team to help deliver interactive kiosks across U.S. markets. You will support PMs, track schedules, manage documentation, and coordinate with vendors, utilities, and city agencies while staying organized and proactive.

Based in our West Hollywood office, the role is on-site daily with potential remote one day a week after six months. Travel is occasional as needed.

Qualifications

• 2 to 3 years of experience supporting construction, infrastructure, engineering, or project management teams.
• Strong organizational and time-management skills; able to manage multiple priorities.
• Excellent written, verbal, and interpersonal communication abilities.
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience with SiteTracker or Salesforce, or quick ability to learn one.

Responsibilities

• Support Project Managers across the deployment lifecycle, from siting and permitting through construction, activation, and closeout.
• Maintain project schedules, milestone tracking, and deployment pipeline data in SiteTracker, keeping records accurate and current.
• Track permit applications and encroachment submittals with Civil Engineering partners through approval.
• Track utility coordination and power make-ready activities, following up on open items.
• Support vendor management, onboarding, scheduling, and performance tracking for contractors.
• Coordinate fabrication and logistics on kiosk production, shipping, and delivery to market.
• Assist with contract administration: scope of work, POs, changes, and invoice approvals.
• Assist with project budget tracking, cost reporting, and forecasting.
• Coordinate meetings, prepare agendas/minutes, capture decisions and actions, maintain docs.
• Prepare status reports and dashboards for internal stakeholders and city partners.
• Maintain punch lists through construction/activation and track items to closeout.
• Coordinate communications across teams and city stakeholders; improve processes and templates.
• Travel occasionally for field visits and pre-construction meetings.
