Job summary

Staffmark Group is seeking an IHT Onsite Operations Coordinator to serve as the link between the onsite workforce, the client's operations team, and the MSP/VMS program office. The role ensures seamless execution of contingent labor processes from candidate submittal and onboarding to timekeeping, reporting, and offboarding.

Responsibilities

• Act as the liaison between onsite workforce, client operations, and MSP/VMS.
• Ensure seamless execution of contingent labor processes from submittal to offboarding.
• Maintain real-time reporting and data accuracy in VMS and internal systems.
• Confirm start dates, training, and assignment details with stakeholders.
• Create and end matches in eRecruit (ER) for starts and terminations.
• Coordinate badge retrieval, equipment, and site assets upon termination.
• Support new hire orientations and ensure compliant processes.

Job Summary

We are currently hiring an IHT Onsite Operations Coordinator for our Workforce Solutions team, and our ideal candidate will possess a passion for impacting lives and our community. The primary purpose of this position is to serve as the key link between the onsite workforce, the client's operations team, and the MSP/VMS program office. This role is responsible for ensuring seamless execution of all contingent labor processes-from candidate submittal and onboarding to timekeeping, reporting, and offboarding. The coordinator supports compliance, data accuracy, and service delivery by managing VMS updates, monitoring candidate and worker status changes, confirming new hire readiness, investigating pay or scheduling discrepancies, and maintaining accurate real-time reporting.

Essential Duties

Your Day-to-Day Leadership includes Activities such as these:

• Partner with the MSP to ensure real-time visibility and compliance with all client program requirements.
• Maintain accurate worker and position data in the VMS and internal systems.
• Verifying all confirmed new hires are fully submitted in the VMS and aligned with approved requisitions.
• Confirm start dates, training schedules, and assignment details with candidates, recruiters, and client managers.
• Create and end matches in eRecruit (ER) for all starts and terminations.
• Facilitate accurate and timely release or termination actions per company direction.
• Coordinate retrieval of badges, equipment, and other site assets upon termination.
• Assist with new hire orientations
• Digital/Tech Fluency: Uses technology effectively in the performance of one's job. Includes the integration and acceptance of new technology when appropriate
• Organization: Effectively manages time, prioritizes tasks, sets goals, and develops systems to achieve success.
• Time Management: Executes tasks within a pre-defined time limit. Can organize tasks and set realistic deadlines they follow through on. Can determine how to use time more effectively to optimize processes.

: Ethical conduct, thoroughness, detail-oriented, excellent written and oral communication skills, strong time management skills, customer-service orientation, good skills in the use of Microsoft Office products (Word, Excel and PowerPoint), proven strong organizational skills, and an ability to effectively prioritize in a multi-task environment and work well under pressure. We also require a strong technical capacity, ability to analyze and interpret data, and identify relative solutions. We also desire 5 years or more project management experience and 5 years or more previous work within a staffing company or onsite experience as well as a BA in Human Resources, Business, or related field or at least 5 years of equivalent experience.
