Job summary

Arlo Solutions is seeking an experienced Event Coordinator / Virtual Event Specialist to support HHS OA in planning and running large-scale virtual, hybrid, and in-person events near Washington, DC. The role centers on the attendee experience across virtual and on-site components, from registration to post-event data.

The ideal candidate has run large virtual audiences, maintains calm under tech failures, and can coordinate with government staff, vendors, and speakers.

Qualifications

• Bachelor’s degree and 5+ years of event coordination or management, or a high school diploma with 8+ years of related experience.
• Experience coordinating federal agency events, especially HHS or civilian agencies.
• Hands-on administration of Stova (Aventri) platform.
• Proven experience running live streaming, virtual breakout sessions, and audience engagement tools.
• Proficiency with virtual platforms such as Teams, Zoom for Government, and Webex.
• Ability to troubleshoot technical issues calmly under live-event pressure.
• Must reside in the Washington, DC metro area and be able to work on-site.
• Must be legally eligible to work in the United States.

Responsibilities

• Configure and manage virtual, hybrid, and in-person event platforms for attendees, speakers, staff, and volunteers.
• Coordinate registration, session interest, attendance, and speaker workflow within the platform.
• Set up live streaming and engagement tools (polls, chat, Q&A) in real time.
• Lead on-site registration, badge troubleshooting, and attendee flow.
• Serve as liaison between government staff, speakers, emcee, and AV/production teams.
