Job summary

Tree of Life Family Services LLC in Loudoun County, VA, seeks a Program Assistant for the Therapeutic Day Treatment program. This 30-hour-per-week, W-2 position offers a hybrid schedule with 8:00 AM–2:00 PM, Monday–Friday, and remote work for many duties.

You will support TDT counselors, monitor documentation, assist with school rounds, coordinate with schools, and participate in staff meetings and supervision. Virginia QMHP‑Trainee registration is required at minimum.

Qualifications

• Active Virginia QMHP‑Trainee registration required at minimum; QMHP or other Virginia credential accepted.
• Bachelor’s or master’s degree in psychology, counseling, social work, human services, or related field.
• Experience in behavioral health, mental health, human services, or related setting.
• Experience with children/adolescents preferred.
• TDT, school-based behavioral health, QA, program coordination or similar experience preferred.
• Strong documentation, organization, and deadline-management skills.
• Ability to work with counselors, families, school personnel and management.

Responsibilities

• Provide ongoing program support to TDT Counselors and assist with day-to-day operational needs.
• Review progress notes and other TDT documentation for completeness, timeliness, accuracy, required elements, and adherence to documentation standards.
• Maintain trackers for counselors, clients, authorizations, and care coordination.
• Monitor upcoming documentation and program deadlines; communicate reminders to staff.
• Support referrals, pre-screening, intake coordination, onboarding, and workflow.
• Assist counselors with documentation questions and scheduling issues.
• Coordinate school rounds and counselor check-ins as needed.
