Job summary

Jewish Federation of Greater Philadelphia seeks an Assistant Director of Events to plan and execute a wide range of events from intimate meetings to large community gatherings. This role leads two Events Specialists and coordinates with staff, vendors and interns to ensure successful events that meet client objectives.

Qualifications

  • Excellent written and oral communication with diverse stakeholders.
  • Strong problem-solving and decision-making abilities.
  • Proven organizational and planning skills.
  • Experience managing budgets related to events and logistics.
  • Understanding of catering and facility management.
  • Knowledge of Jewish culture and kasherut preferred.
  • Able to work early mornings, evenings and some weekends.
  • 4–6 years of professional event planning experience.
  • 3+ years of supervisory experience leading a high-performing team.
  • Ability to thrive in a fast-paced, multi-task environment.
  • Proficiency with MS Word, Excel, and PowerPoint.
  • Reliable transportation to venues.

Responsibilities

  • Plan and execute 200 events/meetings annually across diverse audiences.
  • Oversee collateral for events: invitations, web pages, signage, flyers.
  • Supervise calendar communications for the Jewish Federation team monthly.
  • Lead event logistics from concept to execution with vendors and timelines.
  • Directly supervise event staff, interns, volunteers and contractors.
  • Set priorities and timelines; monitor progress and performance.
  • Ensure compliance with policies and event standards.
  • Lead on-site during events and serve as primary decision-maker.
  • Foster a collaborative, customer-service oriented team culture.
  • Coordinate venue walk-throughs and maintain vendor relationships.
  • Handle on-site problem-solving and risk management paperwork.
  • Cultivate relationships with Federation professionals and partners.
  • Distribute branded materials for events and lead affinity group planning.
  • Represent Senior Director in meetings when needed.
