Job summary

UC Irvine’s Department of Political Science and the Department of Chicano/Latino Studies seek a Department Analyst to provide financial, programmatic, and event coordination support within a shared administration model. You will handle budget, reimbursements, contracts and grants, course scheduling, and academic personnel processes.

The role requires collaboration with two departments, strong communication, and the ability to balance priorities in a hybrid/remote work environment.

Qualifications

• Thorough knowledge of university rules and budget, accounting, fund management and personnel processes.
• Strong verbal and written communication, active listening and advising skills.
• Analytical ability for long-range planning across budget, space, personnel and programs.
• Proficiency with MS Word, PowerPoint, Excel and UC-specific systems.
• Ability to handle confidential information with discretion and maintain confidentiality.
• Experience in fiscal and budgetary planning for department operations and grants.

Responsibilities

• Provide financial administration including reimbursements, purchases and stipends.
• Prepare contract and grant proposals and submissions.
• Coordinate events and serve as primary administrator for undergraduate/graduate programs.
• Manage textbook orders and database records; schedule courses (academic year and summer).
• Handle academic personnel administration for hires, merits and promotions; manage employment and salary records.
• Maintain departmental websites and support daily administrative operations for faculty, staff, students and visitors.
• Deliver excellent customer service and balance priorities in a shared support model.
