Position Summary

Primary Job Function of the Installation Coordinator: To coordinate the day-to-day scheduling operations for Install. Set up job files in Service Titan. Responsible for contacting customers regarding scheduling, scheduling subcontractors and inspections. Responsible for maintaining the installation schedule. Responsible for job set up, billing, permits, registrations and delivery schedule.

Essential Job Functions:

• Update Install schedule daily filling to maximum capacity
• Set up and issue job numbers to sold jobs in Service Titan
• Call customers and confirm install dates
• Advise sales team daily next available install dates
• Assist sales team with estimates and paperwork discrepancies in Service Titan
• Update and maintain dispatch board with all sold jobs, communicate scheduling issues with other departments including sales
• Verify collection of payments on job completions
• Verifying all P.O.#.’s is exported.
• Confirming job account balances are zero
• Report financed jobs to accounting
• Service agreements are entered
• Equipment registrations are completed
• Assist and coordinate with the warehouse with delivery schedule for installs
• Assist with coordinating material pick-ups with delivery from vendors throughout the day for upcoming installs
• Talk with field supervisors on progress of crew(s) daily. Make sure jobs are staying on schedule or not
• Return customer calls in a timely manner, resolving open issues in a fast/efficient manner etc
• Acquire necessary permits
• Additional duties as assigned

Performance Indicators: Certain key business indicators will measure the effectiveness of the Installation Coordinator. These include the following:

• Maximization of installation schedule
• Correctness and timeliness in which new jobs are processed
• The degree to which jobs are scheduled in a timely manner
• Accuracy and completeness of job billing completed daily
• Customer compliments/complaints related to the timeliness of return calls to customers
• Job & Delivery schedules are maintained correctly and consistently

Required Qualifications
