Job summary

IMDEX is seeking an HRIS System Administrator to administer, maintain and continuously improve its enterprise people systems. You will ensure reliable system operation, accurate data, controlled change, secure access and a positive user experience for HR and business users in Salt Lake City.

Responsibilities include servicing incidents, managing workflows, building forms, maintaining foundation data, and developing reports with BI tools like Power BI and Absorb LMS.

Qualifications

  • More than 5 years of experience in Information Technology, Human Resources Systems Management, or related field.
  • Experience administering or supporting HR, payroll, or workforce management systems.
  • Strong attention to detail and ability to manage confidential employee data.
  • Experience troubleshooting system issues and supporting end users.
  • Business analysis skills, including requirements gathering, process mapping and stakeholder consultation.
  • University (first degree) in Information Technology, Human Resources Management, or related field.
  • HR systems training, certification or accreditation, such as SAP SuccessFactors.
  • Experience developing reports or dashboards using business intelligence tools, such as Power BI.
  • Experience administering or supporting learning management systems, such as Absorb.

Job description

The purpose of this position is to administer, maintain and continuously improve IMDEX’s enterprise people systems, ensuring reliable system operation, accurate data, controlled change, secure access, effective reporting and a positive user experience.

ACCOUNTABILITIES & EXPECTED OUTCOMES
SYSTEM MAINTENANCE AND SUPPORT
Accountabilities
  • Responding to incidences for system bugs and issues.
  • Monitoring and managing system workflows and business rules.
  • Initiating and updating forms, sessions and templates for the HR team to utilize with the business, such as Performance Forms, Calibration Sessions, and Competency Assessments.
  • Accountable for maintaining system foundation data including organizational data, permission roles, and job architecture.
  • Educating users about the software and maintaining system related documentation.
  • Support with assessing the compliance of the system’s with relevant security and privacy governance frameworks.
  • Monitoring and troubleshooting system integrations.
  • Where appropriate, participate in vendor forums and provide product feedback on behalf of IMDEX.
  • Responsible for maintaining and developing the HR intranet page.
Expected Outcomes
  • System issues are investigated and resolved through permanent fixes or appropriate workarounds.
  • Workflows progress efficiently, with delays monitored, escalated and resolved as required.
  • Implement annual forms with any organizational updates, test and deploy for ends users to reduce systems bugs and issues.
  • Upon approval, create new job families / roles, permission roles, office locations, and cost centers.
  • User guidance and training materials remain accurate and aligned to current system functionality.
  • Support the assessment or audit of system related data and performance with IT
  • Sign up for product related demonstrations, community events and customer feedback channels, and share opportunities with the relevant Process SMEs.
SYSTEM GOVERNANCE
Accountabilities
  • Reviewing the integrity of employee, position, and foundation data.
  • Define Change Requests for continuous improvement in line with the vendor roadmap and business requirements, and facilitate prioritization of system development.
  • Support the implementation of approved Change Requests, by configuring system prerequisites, unit testing intended outcomes, coordinating User Acceptance Testing and advising the business on dependencies.
  • Review product release notes with Process SMEs to assess mandatory and opt-in features and identify Change Requests.
Expected Outcomes
  • Audit employee, position, and foundation data on an annual basis to ensure data integrity, either through KPI reports or manual reviews
  • Change Requests are assessed and prioritized based on business value, system alignment, risk and vendor roadmap opportunities.
  • Ensure Change Requests follow the agreed deployment plan in a controlled manner.
  • Maintain and update procedures and instructions as Changes Requests are implemented.
  • Be abreast of system updates and improvement opportunities via external vendors.

  • Advise the Business Intelligence team on relevant data sources, tables and fields for employee and organizational metrics.
  • Encourage the business to utilize standard reports and dashboards.
  • Provide additional employee or organizational data where standard reports are unavailable or insufficient.
Expected Outcomes
  • Business users have access to relevant data to support informed decision making.
  • Advocate for the development of new standard reports based on frequently asked questions.
  • Provide additional contextual or drill down data to supplement standard reports
