Job summary

North Slope Borough School District in Alaska seeks a detail-oriented administrative professional to support the Personnel Department, maintain confidential records, and assist district employees and applicants.

Responsibilities include answering phones, greeting visitors, processing forms, coordinating meetings and travel, and ensuring compliance with district policies while safeguarding sensitive information.

Qualifications

  • Valid Alaska Driver License required.

  • Inupiaq speaking and cultural experience preferred.

Responsibilities

  • Answer phones and direct calls to staff.
  • Greet visitors and direct them to the correct location.
  • Receive, sort, and distribute daily mail and deliveries.
  • Provide basic and accurate information in person and via phone/email.
  • Order front office supplies and maintain inventory.
  • Update calendars and schedule meetings.
  • Arrange travel and prepare travel vouchers.
  • Keep updated records of office expenses and costs.
  • Perform clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Report immediately any visitor who bypasses the reception desk or displays suspicious activity.
  • Research and complete verifications of service as necessary.
  • Process Personnel Action Forms for classified hourly employees.
  • Ensure all employees receive annual evaluations pursuant to District policies.
  • Advertise District vacancies as needed.
  • Interface with employees and the public regarding personnel procedures.
  • Maintain employee and applicant files, ensuring accuracy and confidentiality of current and archived records.
  • Analyze applications and personnel forms to ensure completeness and accuracy.
  • Conduct temporary and permanent hire orientation when necessary.
  • Cross‑train with other department employees and provide coverage as needed.
  • Complete office purchases, process purchase requisitions and invoices for payment.
  • Maintain a high level of confidentiality with personnel records and information.
  • Perform other duties as may be assigned.
  • Adhere to all District policies and regulations.

Physical Requirements

The employee is regularly required to sit, stand, walk, and use hands to handle or feel objects, tools, and controls; reach with hands and arms; stoop, kneel, crouch, or crawl; climb or balance occasionally; and lift or move up to 40 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Environmental Conditions

The work environment is normally quiet. The employee may need to travel within and outside the North Slope Borough School District and must be willing and able to fly in small and large commuter planes.

Work Year: Year Round
Range and Minimum Salary Grade: Grade 15 – $25.55 to $39.41 (based on experience)
