The Judicial Branch of Arizona in Maricopa County is seeking a Human Resources Specialist to support the Human Resources Employment Services Department. In this high-volume, fast-paced role, you will manage onboarding and employment HR processing actions while maintaining accurate HRIS records and providing customer service to employees and internal partners.
Key Responsibilities
- Manage a high-volume caseload of employment processing actions within a complex organizational environment.
- Contact new hires, coordinate onboarding paperwork, and conduct onboarding appointments to support a welcoming and professional experience.
- Track completion of onboarding tasks assigned to new hires, managers, and internal stakeholders.
- Maintain and update onboarding checklists and workflows.
- Answer employee questions related to standard policies, benefits, and retirement, and refer more complex matters to senior-level HR staff or appropriate departments.
- Perform employment eligibility (E-Verify) verifications for newly hired employees.
- Prepare and process employment documentation, including Personnel Action Forms, for hiring, promotions, transfers, salary adjustments, retirements, and terminations.
- Update the internal HRIS database daily with personnel changes.
- Maintain hard-copy personnel files and ensure compliance with records retention and release of information guidelines.
- Prepare routine, sensitive correspondence and documentation associated with areas of responsibility.
- Identify opportunities to improve onboarding efficiency and the onboarding experience.
- Provide customer service and respond to inquiries by email, telephone, and in person from employees, managers, and external customers related to employment procedures, opportunities, health and non-health benefits, compensation, and other HR services.
Required Qualifications
- Associates degree.
- Minimum 1 year of specialized experience in human resources or administrative support in a large, complex organization, including onboarding, HR systems and workflows, and streamlining administrative HR functions.
- Three (3) years of specialized experience in human resources or administrative support in a large, complex organization that includes onboarding, HR systems and workflows, and streamlining administrative HR functions may substitute for the minimum qualifications.
- Experience working in the Judicial Branch.
- Knowledge of customer service principles and processes for internal and external customers.
- Working knowledge of HR principles and processes.
- Ability to type and complete accurate data entry.
- Effective verbal and written communication aligned to the needs of the audience.
- Ability to prioritize assignments, multitask, and manage time effectively while handling frequent interruptions.
- Ability to develop and maintain positive working relationships with coworkers, employees, and managers.
- Proficiency with the Microsoft Office suite and other database systems to complete required paperwork, reports, email correspondence, internet tasks, and other administrative duties.
- Ability to function effectively in a high-volume, fast-paced environment.
- Effective listening, including assessing understanding and adjusting communication style as needed.
- Ability to work as a team member with moderate supervision.
- Critical thinking skills to analyze problems, reach logical conclusions, and execute effective solutions.
