Position Summary
The Human Resources Specialist will support the full employee lifecycle by coordinating recruitment, hiring, onboarding, employee records, payroll documentation, compliance, and HR reporting. Responsibilities include partnering with departments on staffing needs, managing job postings and requisitions, screening and interviewing candidates, coordinating reference and pre‑employment checks, and facilitating a smooth onboarding experience.
The position maintains accurate employee records and HR data in ADP, processes personnel and payroll documentation, manages employment verifications, and oversees compliance activities including I‑9s, work authorization, MVRs, workers’ compensation, background and drug screenings, and required reporting. The role also supports HR communications, employee ID badges, invoices, data requests, and HR reports and queries.
Main Responsibilities
Recruitment and Onboarding
- Partners with departments on recruitment needs based on business strategy
- Assist with job descriptions, and post positions on appropriate sites
- Manage requisition approval process for new recruitment
- Review and track applicants through the Applicant Tracking System
- Schedules and conduct phone screens and interviews with candidates
- Solicits feedback from hiring managers about candidates' knowledge and skills
- Follow‑up with candidates throughout the interview and hiring process
- Conducts reference checks for final candidates
- Ensures the requisition process is complete prior to offer
- Coordinates with Senior HR Manager to make an offer to candidate
- Sends new hire paperwork to candidate electronically through ADP and coordinates all pre‑employment checks
- Facilitate a smooth onboarding experience for new employees
Records and Data Management
- Maintain electronic files and scan all personnel related documents into personnel files in ADP
- Prepare bi‑weekly payroll packet for review and processing
- Initiate action forms and acquire signatures for payroll processing (new hire, change, bonus, termination, and any personnel information/changes)
- Maintain MVR and auto insurance for all employees for audit records and reporting
- Process employment verifications for present and past employees
- Ensure that reports are complete for all potential workers’ compensation claims and manages process which includes tracking and maintaining all accidents
- Manage pre‑employment, random and annual employee checks including background, drug and post‑accident
- Responds to internal and external requests pertaining to IM’s human capital, including EEO data
- Maintain employee contact information to oversee EZ text communication for notifying employees of pending emergencies, potential business closures, procedures and reporting
- Prepare and enter monthly invoices for Background checks, drug screens and quarterly unemployment payments
- Verify I‑9’s for new hires
- File monthly DADS report with appropriate State and Federal agencies to ensure compliance
- Maintain work authorization status for employees
- Create ID badges for staff
- Develop queries and create/run various HR reports for other departments as required
Qualifications, Skills & Experience
- High school diploma or equivalent required. Bachelor’s degree preferred
- At least three years of human resources and recruitment experience
- Nonprofit/social services experience is strongly preferred
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular); Experience with HR databases and HRIS systems (ADP strongly preferred); Ability to work with other relevant software
- A high degree of proficiency working independently, as well as part of a team
- Ability to prioritize and meet multiple deadlines under pressure
- Excellent written and verbal communication skills
- Able to work independently with minimal supervision and meet deadlines.
- Detail oriented with excellent organizational skills
- Ability to work with individuals from diverse backgrounds
- Reliable transportation, valid Driver's License, auto registration, inspection, and automobile liability insurance are required
