Job summary

The City of New York seeks a College Aide (All City Depts) to support the Office of Human Resources and Employee Experience with HR records, data organization, and archival processes. Work will include filing, creating and updating files, and assisting with special projects under supervision.

Hours vary by school schedule (17–35 hours/week) with potential remote work up to 2 days per week. Strong organization and computer skills with Word/Excel are preferred.

Qualifications

  • Matriculation at an accredited college or graduate school and ongoing student status.
  • For IT track, coursework in information technology or related fields with credits.
  • Ability to handle confidential information with discretion.

  • Pull and sort files.
  • Identify and prepare files for archiving.
  • Abolish unnecessary files and paperwork.
  • Create, organize, and rename files on the Shared Drive.

Job description

The Office of Human Resources and Employee Experience (HREX) is responsible for ensuring the Department complies with applicable labor and employment laws and City and Agency rules and policies. The division provides guidance to managers and employees on a variety of topics including recruitment, employment, civil service, job and organizational design, labor relations, youth programs, benefits, wellness, performance evaluations, salary administration, timekeeping, and time and leave administration.

The Human Resources Records Intern shall provide HREX with compliance support and assistance with creating, reorganizing and maintaining human resources records, as well as collaborate with HREX staff in developing methods to store and maintain employee data.

Duties Include:

  • Organize and file paperwork.
  • Create and update files.
  • Pull and sort files.
  • Identify and prepare files for archiving.
  • Abolish unnecessary files and paperwork.
  • Create, organize, and rename files on the Shared Drive.
  • Execute additional projects, as assigned.

Work Hours

  • 17 hours/week when school is in session
  • 35 hours/week when school is on break

PAY RATES

  • Entering Freshmen through completion of Sophomore year: $17.50
  • Entering Junior through completion of Senior year: $17.75
  • Graduate level: $18.00

REMOTE WORK

When working a 35 hour/week schedule, this position may be eligible for remote work up to 2 days per week, pursuant to the Remote Work Pilot Program

COLLEGE AIDE (ALL CITY DEPTS) - 10209

Minimum Qualifications

For Assignment Level I:
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school.

For Assignment Level II (Information Technology):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study.

For Assignment Level III (Information Technology Fellow):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.

SPECIAL NOTE
Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods.

Preferred Skills

Preferred Areas of Study: human resources, library science, records management or a closely related field

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
