Job summary

McLain Site Solutions, a Florida-based heavy civil contractor, is seeking a highly organized HR & Payroll Specialist to support our growing team. This role handles payroll, recruiting, onboarding, employee records, benefits administration, and compliance, ensuring accuracy and confidentiality.

You will manage full-cycle recruitment, post ads, screen resumes, coordinate interviews, conduct onboarding, and maintain HR files while complying with federal and Florida laws.

Qualifications

  • 3–5 years of HR and payroll experience.
  • Experience processing payroll for multiple employees.
  • Strong knowledge of federal and Florida employment laws and payroll regulations.
  • Experience with recruiting, onboarding, benefits administration, employee relations, and personnel file management.
  • Proficiency in ADP, QuickBooks, Contractor Foreman, and Microsoft Office.
  • Strong attention to detail and high level of accuracy.

Responsibilities

Position Summary

McLain Site Solutions is seeking a highly organized and detail-oriented Human Resources & Payroll Specialist to support our growing team. This position is responsible for managing payroll, recruiting, onboarding, employee records, benefits administration, compliance, and day-to-day human resources functions. The ideal candidate has experience in payroll processing, HR administration, and construction industry practices while maintaining a high level of professionalism and confidentiality.

Essential Responsibilities
  • Manage the full-cycle recruitment process for field and office positions.
  • Create and post job advertisements on recruiting platforms.
  • Screen resumes, schedule interviews, and coordinate the hiring process.
  • Conduct new hire orientation and onboarding.
  • Coordinate pre-employment requirements, including background checks, drug screenings, employment verification, and new hire paperwork.
  • Maintain employee personnel files and HR records.
  • Administer employee benefits, enrollments, and qualifying life event changes.
  • Coordinate PTO, FMLA, military leave, jury duty, and other leave requests.
  • Assist managers with employee relations, coaching, disciplinary actions, and performance management.
  • Maintain confidentiality of employee information.

Payroll Administration
  • Process weekly payroll accurately and on time.
  • Review employee timecards and ensure payroll accuracy.
  • Process new hires, terminations, promotions, wage changes, garnishments, and direct deposit updates.
  • Maintain payroll records and employee earnings history.
  • Coordinate payroll deductions for benefits and other authorized deductions.
  • Reconcile payroll reports and assist with month-end reporting.Ensure payroll complies with all federal, state, and local regulations.
  • Respond to employee payroll questions and resolve discrepancies.
Compliance & Administration
  • Maintain employee files, I-9 documentation, and employment records.
  • Assist with workers' compensation claims and return-to-work documentation.
  • Coordinate OSHA training records and employee certifications.
  • Maintain the employee handbook and HR policies.
  • Support audits by providing payroll and HR documentation.
  • Prepare HR and payroll reports for management.
  • Assist with company meetings, employee recognition programs, and special projects.
  • Perform additional duties as assigned.
Qualifications
  • Associate's or Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field (or equivalent experience).
  • Minimum 3–5 years of Human Resources and Payroll experience.
  • Experience processing payroll for multiple employees.
  • Strong knowledge of federal and Florida employment laws and payroll regulations.
  • Experience with recruiting, onboarding, benefits administration, employee relations, and personnel file management.
  • Proficiency in ADP, QuickBooks, Contractor Foreman, and Microsoft Office (Excel, Word, Outlook).
  • Strong attention to detail and high level of accuracy.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage confidential information with professionalism and discretion.
  • Ability to prioritize multiple tasks and meet deadlines.
Preferred
  • Experience in heavy civil construction or the construction industry.
  • Knowledge of certified payroll, prevailing wage reporting, and workers' compensation.
  • SHRM-CP, SHRM-SCP, PHR, or payroll certification (FPC or CPP).
  • Experience with OSHA compliance and employee safety documentation.
  • Bilingual (English/Spanish).
Physical Requirements
  • Ability to sit for extended periods while working on a computer.
  • Frequently use hands for keyboarding and operating office equipment.
  • Occasionally lift and carry up to 25 pounds.
  • Ability to occasionally visit construction sites while wearing required PPE.
Work Environment

This position is primarily office-based with occasional visits to active construction sites. Employees may occasionally be exposed to outdoor weather conditions, construction equipment, dust, noise, and active job site operations. Required PPE must be worn while visiting project sites.

Schedule

Monday–Friday Typical hours: 7:00 AM – 5:00 PM One-hour unpaid lunch
