Position Summary

The HR & Payroll Manager is a hands-on role responsible for overseeing full-cycle HR and Payroll operations for a growing, multi-location, multistate organization with approximately 200 employees. This position plays a critical role in supporting both employees and leadership by ensuring accurate payroll processing, strong HR practices, and compliance across all states of operation.

This role requires deep expertise in ADP Workforce Now (WFN), strong attention to detail, and the ability to partner cross-functionally to support a people-first, mission-driven workplace.

This role will also be responsible for facilitating the onboarding process for new hires, particularly those acquired through mergers and acquisitions (M&A). This role is responsible for ensuring compliance with labor laws, managing employee records, and providing seamless integration of new employees while ensuring a smooth transition for all employees post-M&A.

Key Responsibilities
Payroll & HRIS Management
  • Administer and process bi-weekly payroll for employees across multiple states and locations using ADP Workforce Now.
  • Manage all payroll-related activities, including benefits deductions, garnishments, PTO tracking, commissions, bonuses, and performance-based compensation changes.
  • Prepare and submit required payroll tax filings and reports.
  • Collaborate with accounting to ensure proper budgeting and reconciliation of payroll accounts.
  • Respond to payroll inquiries and resolve discrepancies promptly.
  • Reconcile payroll records and oversee year-end processes, including W-2 preparation and reporting.
Human Resources Operations
  • Oversee full-cycle HR processes including recruitment, onboarding, performance management, employee transitions, and terminations.
  • Facilitate onboarding process for new hires, including New Hire Orientation.
  • Coordinate annual performance review cycles and ensure timely and accurate updates to compensation and promotions within ADP WFN.
  • Serve as a trusted resource for employee relations by addressing questions, mediating concerns, and supporting a positive and respectful work environment.
  • Maintain, update, and enforce HR policies and procedures in compliance with federal, state, and local employment laws.
  • Coordinate employee handbook reviews and updates to ensure policies remain current and aligned with organizational values.
  • Conduct periodic audits of employee records and HR processes for compliance and accuracy.
  • Assist in employee relations matters, disciplinary actions, and conflict resolution.
  • Provide training and guidance to managers and employees on payroll, benefits, and HR processes.
Benefits & Compliance
  • Coordinate and manage the Open Enrollment Process and ongoing benefits administration, including health insurance, 401(k), FMLA, workers’ compensation, and disability programs.
  • Maintain the ADP Benefits Dashboard and partner with brokers and vendors to ensure accuracy, compliance, and effective communication.
  • Process and reconcile benefits invoices and analyze benefit costs.
  • Prepare for and manage audits related to payroll taxes, workers’ compensation, employee benefits, 401(k) plans, general liability, and corporate compliance.
Culture & Engagement
  • Develop and support initiatives that enhance employee engagement, satisfaction, and retention.
  • Partner with leadership to create professional development opportunities and foster a culture of recognition, accountability, and growth.
  • Collaborate and support build-out of intranet and manager toolkit.
Mergers & Acquisition
  • Coordinate the integration of new employees into the company, ensuring a smooth transition by aligning their compensation, benefits, and HR information with company policies.
  • Ensure M&A-related documentation is completed, including employment contracts, benefits enrollment, and tax forms.
  • Provide support to new employees during the M&A process by answering questions and addressing concerns related to compensation, benefits, and company culture.
  • Track and report on the status of M&A employee integration and identify any potential issues or gaps.
  • Facilitate any necessary training or orientation for M&A employees to familiarize them with company policies, benefits, and resources.
Skills/Abilities
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills, with the ability to work effectively with all levels of staff and leadership.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong knowledge of payroll systems, HR software, and federal/state/local labor laws.
Education/Experience
  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of 5 years of experience in payroll and human resources administration.
  • Experience managing payroll for a diverse workforce across multiple states (preferred).
  • Previous experience with M&A integration and employee onboarding is a plus.
  • Experience with payroll systems such as ADP, Paycom, or similar platforms.
  • Experience in the Healthcare field is preferred.
  • PHR or SHRM certification preferred.
Location

Dallas HQ — this is an in-office role requiring presence 4 days per week. Remote or hybrid-flexible arrangements are not available. Some weeks may require 5 days in-office.
