Fisher College, a private institution located in the heart of Boston’s Back Bay, is seeking an experienced, highly organized, and detail-oriented Human Resources Payroll and Benefits Coordinator to join our Human Resources team.This position provides day-to-day administrative and operational support to the Human Resources department and serves as a primary point of contact for routine employee, supervisor, faculty, and student HR questions. Responsibilities include supporting the biweekly payroll process, coordinating employee benefits with the College’s third-party benefits administrator, maintaining employee information and preparing reports through the HRIS, coordinating onboarding and offboarding, maintaining employee records, and providing administrative support for other HR activities.Working under the direction of HR leadership, the Coordinator is responsible for ensuring assigned HR processes are completed accurately, timely, and consistently. The position handles routine matters within established procedures and refers matters requiring policy interpretation, exceptions, employee relations decisions, or other HR judgment to HR leadership.This is a hands-on HR support role that requires previous experience with day-to-day Human Resources operations. The successful candidate will be comfortable working with employee data, spreadsheets, HR systems, payroll and benefit information, deadlines, and detailed administrative processes. Strong follow-through, accuracy, confidentiality, responsiveness, and the ability to manage multiple priorities are essential.This is a fully onsite position requiring physical presence on Fisher College’s Boston campus five days per week, Monday through Friday, from 8:30 a.m. to 4:00 p.m.Key ResponsibilitiesPayroll CoordinationCoordinate the College’s biweekly payroll process for staff, faculty, adjunct faculty, and student employees.Prepare and upload payroll files and employee earnings information into Paycom in accordance with established payroll schedules.Review payroll information for accuracy and completeness and identify discrepancies requiring correction.Coordinate with Finance, supervisors, and other departments to resolve routine payroll and timekeeping issues.Serve as a primary point of contact for routine employee payroll, timekeeping, deduction, and paycheck inquiries.Provide guidance to employees and supervisors regarding time entry, approvals, payroll deadlines, and established procedures.Maintain accurate payroll documentation and records.Assist with payroll-related reports, audits, reconciliations, and special projects.Benefits CoordinationCoordinate the day-to-day administration of employee benefit programs in partnership with the College’s third-party benefits administrator, brokers, carriers, and other vendors.Serve as a primary point of contact for routine employee benefits questions and assist employees in navigating benefit resources and processes.Assist employees with benefit enrollments, qualifying life event changes, and other benefit-related transactions.Coordinate benefits enrollment for newly eligible employees and provide benefits information during new employee orientation.Coordinate the annual open enrollment process, including employee communications, deadlines, enrollment activities, and follow-up.Assist with the coordination of health, dental, vision, life insurance, retirement, FSA, COBRA, and other employee benefit programs.Maintain accurate benefit information in the HRIS and work with vendors to resolve routine discrepancies and enrollment issues.Maintain effective working relationships with benefit vendors, brokers, and HRIS representatives.HRIS Maintenance & ReportingMaintain accurate and up-to-date employee information in Paycom, including personal information, employment status, compensation, job information, and benefit-related data.Process routine employee changes and ensure supporting documentation is complete and properly maintained.Monitor HRIS data for accuracy and integrity and correct or escalate discrepancies as appropriate.Generate standard and ad hoc HR reports to support payroll, benefits, compliance, audits, and departmental needs.Assist employees and supervisors with routine Paycom questions and system navigation.Assist with HRIS updates, testing, and implementation of approved system changes as needed.Onboarding & Employee OrientationCoordinate the onboarding process for new employees from acceptance of employment through completion of required onboarding activities.Monitor completion of new-hire documentation through Paycom Employee Self-Service and follow up on outstanding requirements.Coordinate the Form I-9 process and maintain accurate and current I-9 records in accordance with federal requirements.Coordinate and conduct new employee orientation, including information regarding HR policies, payroll, benefits, and HR systems.Coordinate with appropriate College departments to support timely setup of employee access, email, equipment, and other onboarding needs.Maintain new-hire records and ensure required documentation is complete.Offboarding & Employee ChangesCoordinate employee offboarding, including HRIS updates, final payroll information, benefit notifications, required documentation, and return of College property.Conduct or coordinate exit interviews as requested.Process employee separations and other approved employment changes accurately and timely.Maintain appropriate records for former employees and ensure HRIS information is updated.Assist with routine employee communications related to employment changes.Day-to-Day HR OperationsProvide day-to-day administrative and operational support to the Human Resources department.Serve as a welcoming and responsive first point of contact for routine HR questions from employees, supervisors, faculty, and students.Respond to matters within established HR procedures and refer questions requiring interpretation, exceptions, or HR decision-making to HR leadership.Maintain accurate and confidential employee records, files, and HR documentation.Prepare employment verifications, employee letters, salary notifications, and other routine HR communications.Assist with interview scheduling and candidate communications as needed.Assist with updates to HR forms, procedures, employee resources, and other HR materials.Provide administrative support for compliance activities, internal and external audits, reporting requirements, and recordkeeping.Support employee engagement activities and other day-to-day departmental needs.Maintain departmental supplies and resources necessary for efficient HR operations.Performance Management & Annual HR ProcessesProvide administrative support for the annual performance evaluation process, including distributing communications, tracking completion, following up on outstanding evaluations, and maintaining appropriate records.Provide administrative support for the annual salary notification process, including preparing salary letters and entering approved changes in the HRIS.Assist with other annual HR processes through tracking, recordkeeping, data entry, and employee communications.Process & Technology SupportAssist with improvements to HR processes, forms, workflows, and use of technology.Identify routine process or data issues and bring them to the attention of HR leadership.Assist with implementation and testing of approved HR process and technology changes.EducationAssociate degree in human resources, Business Administration, or a related field preferred. A combination of education, training, and relevant experience that provides the necessary knowledge and skills may also be considered.ExperienceMinimum of 2–3 years of hands-on Human Resources experience involving HR operations, payroll support or coordination, benefits administration, HRIS maintenance, onboarding/offboarding, employee records, or similar HR responsibilities.Experience working directly with employee data and HR systems in a professional Human Resources environment.Experience with payroll and/or HRIS platforms is required; Paycom experience is strongly preferred.Experience working with confidential employee information and maintaining accurate HR records.Previous experience in a higher education environment is preferred.Knowledge, Skills & AbilitiesStrong proficiency in Microsoft Excel is required, including the ability to organize, review, reconcile, and analyze HR and payroll data; work effectively with spreadsheets; and use formulas, functions, sorting, and filtering to identify and resolve discrepancies.Proficiency with Microsoft Office applications, including Outlook and Word, is required.Working knowledge of payroll, benefits, employee recordkeeping, and related HR compliance requirements.Strong attention to detail and demonstrated commitment to accuracy.Exceptional organizational, time-management, and follow-through skills.Ability to manage multiple priorities and meet established deadlines in a fast-paced environment.Ability to work independently on assigned responsibilities while recognizing when matters require escalation or HR leadership review.Strong analytical and research skills, including the ability to work with HR data, identify discrepancies, and prepare accurate reports.Excellent written and verbal communication skills.Ability to clearly explain established HR processes and procedures to employees and supervisors.Strong interpersonal and customer-service skills with the ability to establish and maintain cooperative working relationships across the College.Ability to exercise discretion and maintain confidentiality when handling sensitive employee information.Demonstrated flexibility and ability to adapt to changing priorities, processes, and technology.Preferred QualificationsExperience working in higher education.Experience with Paycom.Experience coordinating employee benefits and working with third-party benefit administrators, brokers, or vendors.PHR, SHRM-CP, or other relevant HR certification is a plus.Work Environment & Physical RequirementsThis position works in a fast-paced, employee-facing office environment and requires frequent interaction with employees, supervisors, faculty, and students.The position requires extended periods of desk and computer work, repetitive keyboarding, regular use of telephone and electronic communication systems, and the ability to manage frequent in-person questions and interruptions while maintaining accuracy and confidentiality.
