Job summary

Guaranteed Rate is seeking a Human Resources Operations Specialist to deliver seamless onboarding and HR support in a fast-paced environment. You will partner with Talent Acquisition, HR Partners, and managers to ensure accurate, compliant onboarding and data integrity across HR systems.

The role requires attention to detail, strong organizational skills, and proactive problem-solving to improve onboarding efficiency and the candidate experience.

Qualifications

  • Bachelor's degree in HR, business administration, or related field preferred.
  • 1–3 years HR Operations, HR Coordinator, or related experience preferred.
  • Experience in mortgage/financial services industry preferred.
  • Working knowledge of HR principles, practices, and employment regulations.
  • Experience with HRIS platforms; Workday experience strongly preferred.
  • Solid proficiency in Microsoft Office (Outlook, Word, Excel).
  • Experience supporting high-volume, fast-paced environments with competing priorities and deadlines.

Pay Range: $50,000-$55,000 annually

Summary:

The Human Resources Operations Specialist plays a critical role in delivering a seamless and positive onboarding experience for new hire candidates through efficient, accurate, and customer-focused support. This role partners closely with candidates, Talent Acquisition, HR Business Partners, hiring managers, and cross-functional teams to ensure hiring and onboarding processes are executed with consistency, compliance, and a high level of service. Operating in a fast-paced, high-volume environment, the position requires strong attention to detail, exceptional organizational skills, and a proactive approach to identifying opportunities that enhance operational efficiency and elevate the overall new hire experience.

Key Responsibilities:
  • Manage end-to-end onboarding processes, ensuring a seamless transition from candidate to employee.
  • Process new hires through the HRIS and prepare all hiring-related documentation, communications, and notifications.
  • Coordinate and communicate candidate status, onboarding progress, and critical hiring updates with recruiters, hiring managers, and HR Operations partners to ensure a seamless hiring experience.
  • Coordinate employment offers in partnership with Talent Acquisition and hiring managers.
  • Initiate, monitor, and review pre-employment screenings, including background checks, escalating issues when appropriate.
  • Ensure timely and compliant completion of I-9 and employment eligibility verification requirements.
  • Ensure integrity and accuracy of employee data within HR systems, including Workday and other HR technologies.
  • Create, maintain, and audit new hire personnel files and onboarding documentation to ensure accuracy, completeness, and compliance with company policies and regulatory requirements.
  • Assists with administrative tasks and other duties as assigned.

Experience/Education:
  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred; equivalent experience will be considered.
  • 1-3 years of Human Resources, HR Operations, HR Coordinator, or related experience preferred.
  • Prior experience working within the mortgage, financial services, or lending industry is highly preferred.
  • Working knowledge of human resources principles, practices, and employment regulations.
  • Experience working with HRIS platforms; Workday experience strongly preferred.
  • Strong proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Experience supporting high-volume, fast-paced environments with competing priorities and deadlines.
