Job description

This is a newly created position — the practice's first dedicated Human Resources role. Until now, HR responsibilities have been handled informally by the COO and office managers across our two locations. The HR Generalist will build a consistent, compliant HR function from the ground up: recruiting and onboarding, benefits, employee relations, compliance, and policy, serving both the Winchester and Woodstock teams. This role reports directly to the COO and will have significant latitude to shape how HR operates as the practice grows.

Key Responsibilities
  • Recruiting & Onboarding: Manage full-cycle recruiting for clinical and administrative roles at both offices — sourcing, screening, interviewing, and extending offers.
  • Run new-hire onboarding, paperwork, orientation, and license/credential verification for clinical staff at both locations.
  • Employee Relations: Serve as the primary point of contact for employee questions, concerns, and conflict resolution across both offices.
  • Conduct exit interviews and track trends to inform retention efforts.
  • Benefits Administration: Administer health insurance, PTO, retirement, and other benefit programs; manage vendor and broker relationships.
  • Own open enrollment communications and employee questions about coverage.
  • Compliance: Ensure compliance with federal and Virginia state employment law (FLSA, ADA, FMLA, EEOC), OSHA requirements, and I-9 verification.
  • Maintain personnel files and credentialing/license renewal tracking for dental staff.
  • Policy & Documentation: Develop and maintain the employee handbook and HR policies, applied consistently across both offices.
  • Payroll Support: Partner with the COO and finance on payroll processing, timekeeping accuracy, and PTO tracking.
  • Performance Management: Stand up a performance review process and support office managers with coaching and documentation.
  • Culture & Engagement: Plan employee engagement initiatives that build a unified culture across two locations.
  • HR Systems & Reporting: Select and maintain an HRIS; report HR metrics (turnover, time-to-fill, headcount) to the COO.
Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or related field — or equivalent experience.
  • 3+ years of HR generalist experience; healthcare, dental, or multi-site small-business experience strongly preferred.
  • Working knowledge of federal and Virginia employment law.
  • Strong interpersonal, written, and verbal communication skills; comfortable being the sole HR presence in the building.
  • High degree of discretion and sound judgment handling confidential employee information.
  • Reliable transportation and willingness to travel regularly between the Winchester and Woodstock offices.
  • Proficiency with HRIS/payroll platforms and general office software.
What Success Looks Like in the First Year
  • A documented employee handbook and core HR policies are in place and communicated at both offices.
  • Recruiting and onboarding are standardized, reducing time-to-fill for open clinical and front-office roles.
  • Benefits administration and compliance recordkeeping (I-9s, licenses, personnel files) are current and audit-ready.
  • Managers at both locations have a clear, trusted HR partner for employee relations issues.
