Job summary

Qualifications

  • Proficiency with Microsoft Office (Outlook, Word, Excel).

Human Resources Generalist

MAG Industries is seeking a dependable and detail-oriented Human Resources Generalist to support the day-to-day administration of our Human Resources function. This position will be responsible for a broad range of HR activities, including onboarding, payroll, benefits, retirement plan administration, employee documentation, workers’ compensation, leave administration, and separation processes.

The ideal candidate is organized, approachable, comfortable working independently, and able to manage confidential employee information with discretion. This position works closely with employees, managers, company leadership, benefit providers, and other external partners.

Responsibilities
Onboarding and Employment Documentation
  • Administer background checks, drug testing, Form I-9 completion, and other onboarding requirements; track completion and retain appropriate records.
  • Prepare new-hire paperwork, establish employee records in ADP and benefits systems, and collect required acknowledgments.
  • Refer screening results or documentation issues requiring an employment decision to the appropriate manager or leadership.
  • Maintain accurate, organized, and confidential personnel files, HR records, and supporting documentation.
Termination and Separation Administration
  • Carry out termination and separation checklists after decisions are made by managers and ownership.
  • Prepare separation paperwork, update payroll and benefits records, coordinate required notices and final-pay processing, track completion of applicable administrative and compliance tasks, and maintain complete separation records.
  • Coordinate company-property return and access-removal requests with the applicable departments.
Payroll Administration
  • Administer payroll through ADP, including employee setup, approved compensation changes, deductions, garnishments, and employment status updates.
  • Review timekeeping information, resolve discrepancies with managers, and process payroll accurately and on schedule through established approval procedures.
  • Maintain payroll records, address employee payroll questions, and coordinate corrections and reporting with ADP and accounting.
Employee Benefits
  • Serve as the primary employee contact for benefits enrollment, coverage questions, qualifying life events, and benefit changes.
  • Coordinate new-hire enrollment, open enrollment, and coverage terminations; maintain accurate enrollment records and payroll deductions.
  • Work with the benefits broker and insurance providers to resolve questions, enrollment discrepancies, and administrative issues.
401(k) Administration
  • Administer the day-to-day requirements of the retirement plan selected by ownership, including employee eligibility tracking, enrollment support, contribution elections, and payroll deductions.
  • Coordinate contribution submissions, employee changes, required notices, and requested reporting with payroll and the plan provider.
  • Assist the broker or plan administrator with employee census information, annual reviews, and other plan administration requirements.
Leave, Disability, and Accommodation Administration
  • Coordinate the administrative processes for FMLA, disability benefits, other employee leaves, and ADA accommodation requests.
  • Provide and collect forms, track documentation and deadlines, maintain confidential records, and communicate with employees and relevant providers.
  • Administer workers’ compensation claims, including gathering incident information, submitting claim documentation, and coordinating with employees, managers, and the insurance carrier.
  • Track claim status, requested information, work restrictions, and return-to-work documentation; maintain complete records and follow up on outstanding items.
Employee Complaints and Investigation Support
  • Serve as an accessible point of contact for employee HR questions, sensitive concerns, complaints about managers, and reports of misconduct.
  • Document concerns objectively and promptly elevate them to the Controller and owners, using an appropriate alternate leadership contact when a complaint involves someone in that escalation path.
  • Handle sensitive information discreetly and communicate next steps as directed by leadership.
Discipline and Attendance Documentation
  • Maintain and track manager-initiated disciplinary records, written warnings, attendance issues, tardiness, and absences.
  • Check documentation for completeness, obtain missing information or acknowledgments, and file records appropriately.
Handbook and Policy Administration
  • Edit and maintain employee handbooks, HR policies, forms, and related files to reflect changes approved by Controller and owners.
  • Distribute approved updates, track employee acknowledgments, and maintain current and historical versions.
Qualifications
