Job summary

Planisware in San Francisco, CA is seeking a detail-oriented HR Generalist to support payroll processing, HRIS administration, benefits, immigration coordination, leaves, and performance management across the employee lifecycle.

The role partners with employees, managers, payroll and benefits providers to ensure accurate data, timely support, and compliance. Strong communication, confidentiality, and organizational skills are essential in our fast-paced environment.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 3+ years of HR generalist, HR operations, payroll, benefits, leave administration, performance management, or related HR experience.
  • Hands-on payroll processing experience required.
  • Experience with HRIS systems required; ADP Workforce Now experience strongly preferred.
  • Experience supporting benefits administration and open enrollment processes.

Responsibilities

  • Provide day-to-day HR support to employees and managers on policies, processes, payroll, benefits, onboarding, offboarding, and general HR questions.
  • Support onboarding activities, including new hire paperwork, HRIS setup, orientation coordination, and employee record creation.

About the role:

We are seeking a detail-oriented and hands-on HR Generalist to support day-to-day HR operations across the employee lifecycle. This role will partner closely with employees, managers, payroll, benefits providers, immigration counsel, leave administrators, and HR leadership to ensure accurate payroll processing, effective HRIS administration, timely benefits support, compliant immigration case coordination, smooth leave of absence administration, and effective performance management support.

The ideal candidate is highly organized, service-minded, comfortable handling confidential information, and experienced working in a fast-paced environment where accuracy, follow-through, and strong communication are essential.

What You’ll Do:
Payroll and HRIS Administration
  • Support the timely and accurate processing of payroll, including reviewing employee data, pay changes, deductions, time off, and other payroll inputs.
  • Partner with payroll providers and internal stakeholders to resolve payroll questions, discrepancies, and employee inquiries.
  • Maintain accurate employee records in the HRIS and ensure data integrity across employee lifecycle changes, including new hires, transfers, promotions, compensation changes, leaves, and terminations.
  • Prepare payroll, HRIS, and headcount reports as needed for HR, Finance, and leadership.
  • Serve as a knowledgeable HRIS user, preferably with experience in ADP Workforce Now or similar systems, and identify opportunities to improve system utilization and workflows.
Benefits and Open Enrollment
  • Support benefits administration, including employee enrollments, changes, terminations, carrier updates, invoice reconciliation, and employee questions.
  • Coordinate and facilitate the annual open enrollment process, including preparing employee communications, updating HRIS/benefits systems, tracking elections, and partnering with brokers and carriers.
  • Assist with benefits education sessions and provide clear, employee-friendly guidance on benefit options, deadlines, and required actions.
  • Maintain accurate benefit records and support compliance-related benefits documentation.
Immigration and Compliance Support
  • Coordinate employment-based immigration case processing in partnership with employees, managers, and external immigration counsel.
  • Track immigration case milestones, deadlines, document requests, work authorization expirations, and status updates to ensure timely follow-through.
  • Assist with collecting, reviewing, and organizing required documentation for visa filings, extensions, amendments, green card processes, and related employment verification needs.
  • Maintain confidential immigration records and support compliance with applicable employment authorization and documentation requirements.
Performance Management
  • Support performance management processes, including goal setting, mid-year and annual review cycles, performance review communications, system setup, tracking completion, and reporting.
  • Partner with managers and HR leadership to coordinate performance documentation, employee feedback processes, and follow-up actions.
  • Assist with performance improvement plans, coaching documentation, and related HR process tracking while maintaining confidentiality and consistency.
  • Help maintain performance management tools, templates, timelines, and employee records within the HRIS or performance management system.
Leave of Absence Administration
  • Administer and track employee leave of absence requests, including medical, family, parental, disability, personal, and other applicable leave programs.
  • Coordinate leave documentation, eligibility review, employee communications, return-to-work planning, and status updates in partnership with employees, managers, payroll, benefits providers, and third-party leave administrators.
  • Maintain accurate leave records and ensure timely updates to payroll, benefits, HRIS, and employee files.
  • Support compliance with applicable federal, state, and local leave requirements, including FMLA, state family and medical leave programs, disability accommodation processes, and company leave policies.
HR Operations and Employee Support

  • Excellent written and verbal communication skills with a customer-service mindset.
  • Proficiency with Microsoft Office, including Excel, Word, Outlook, and Teams.
Preferred Qualifications:
  • Experience in a SaaS, technology, professional services, or multi-state employer environment.
  • Experience supporting international employees or employment-based immigration matters such as H-1B, TN, E-2, L-1, PERM, or green card processes.
  • Experience improving HRIS workflows, reporting, employee self-service tools, and payroll/benefits processes.
  • PHR, SHRM-CP, or similar HR certification is a plus.

  • Payroll is processed accurately and on time, with strong attention to detail and quick resolution of issues.
  • Employee data in the HRIS is accurate, current, and well maintained.
  • Open enrollment, leave of absence processes, and performance review cycles are organized, clearly communicated, and completed smoothly.
  • Immigration cases are tracked carefully, with deadlines, documentation, and status updates managed proactively.
  • Performance management and leave documentation are tracked accurately, confidentially, and in alignment with company processes.
  • Employees and managers receive timely, helpful, and professional HR support.

This role will be based out of our San Francisco, CA office. Planisware currently has a hybrid policy of working in-office four days per week, Monday-Thursday, with remote flexibility on Friday. This is subject to change as the company sees fit.
