Responsibilities

  • Posters and labor law notices kept up to date and displayed.
  • Conduct benefits orientation and manage changes, enrollments, and inquiries.
  • Assist with ACA reporting and disability claims, and coordinate with insurers.
  • Process life insurance paperwork and administer the sick leave bank.
  • Track leaves of absence (FMLA etc.) and coordinate with payroll for payments.
  • Prepare and submit EEO reports and payroll-related data as needed.

Salary Range: $17.91 - $23.10

SUMMARY: The Human Resource Executive Specialist is primarily responsible for benefits administration, overseeing the sick bank leave processes, various verifications, assisting in ACA reporting and EEOC reporting, overseeing the teacher certification renewals, and assisting in ensuring compliance with staff evaluations. This role works with the Human Resources Generalist to ensure compliance in all filing. This role also assists in day-to-day clerical tasks as needed. This role requires a highly organized, detail-oriented individual capable of managing multiple projects and shifting priorities to adjust to the ever changing priorities of the HR department.

ESSENTIAL DUTIES AND RESPONSIBILITIES Include but are Not Limited to:

  • Maintain discretion and loyalty with confidential information.
  • Maintain and update employee evaluation records using the Frontline system, ensuring timely and accurate data entry.
  • Monitor and manage probationary and tenure status for teachers and staff, ensuring compliance with district policies and state regulations.
  • Verify and track teacher certifications, ensuring all teaching staff meet state certification requirements.
  • Ensure that all required federal and state labor law posters are displayed prominently and updated regularly.
  • Conduct benefits orientation for new employees, explaining health insurance options and other benefits.
  • Manage changes, cancellations, and enrollments in employee insurance plans, ensuring accurate record‑keeping.
  • Assist with the annual open enrollment process for employee benefits, including communication, forms distribution, and assistance with selections.
  • Address employee inquiries regarding insurance benefits, resolve concerns, and liaise with insurance vendors as needed.
  • Aid in Affordable Care Act (ACA) reporting, ensuring compliance with federal requirements.
  • Manage short-term and long-term disability claims, including documentation and communication with insurance providers.
  • Process life insurance claims and related paperwork in the event of an employee's death.
  • Administer the sick leave bank, including tracking contributions, usage, and eligibility.
  • Track and assist with employee leaves of absence, including medical, Family and Medical Leave Act (FMLA), and non‑medical leaves.
  • Assist with worker's compensation claims, including filing reports and coordinating with insurance providers.
  • Generate and provide necessary reports to payroll, including sick leave bank and compensation data.
  • Maintain and update salary schedules for all employee classifications.
  • Track longevity milestones and related compensation for eligible employees.
  • Conduct and analyze salary surveys to ensure competitive compensation practices.
  • Administer contractual payments, including allowances, annuities, and attendance incentives.
  • Prepare and submit EEO reports to ensure compliance with federal and state regulations.
  • Process purchase orders and requisitions for the HR department.
  • Maintain work calendars for various employee groups
  • Perform other duties as assigned by the immediate supervisor.

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED) with 2-3 years of related experience and/or training. Previous benefit management experience is heavily preferred.

LANGUAGE SKILL:

Ability to read and interpret documents and procedure manuals. Ability to write routine reports, correspondence, and create how‑to manuals. Ability to speak effectively with parents, staff, and students. Demonstrated effective phone etiquette.

MATHEMATICAL SKILLS:

Ability to perform basic math computations including rates, ratios, and percents using whole numbers, common fractions, and decimals.

REASONING ABILITY:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Demonstrated ability to use good judgment in decision‑making.
