Responsibilities

  • Enter, update, and maintain HR files, employee information, and confidential records in HRIS and other systems.
  • Process and track employee status changes across the life cycle (hires, transfers, promotions, leaves, terminations).
  • Prepare routine HR reports, spreadsheets, and presentations.
  • Assist with HR data collection, audits, and special projects; coordinate corrections.
  • Provide administrative support to HR team and COO across key processes.
  • Assist with transfer/promotion/employment verification letters.
  • Respond to routine employee questions and navigate standard HR processes.
  • Maintain confidential information with discretion and professionalism.
  • Monitor forms, acknowledgments, and documentation; support internal/external reporting.
  • Follow organizational policies and federal/state/local employment requirements.
  • Coordinate pre-employment and new-hire paperwork; plan onboarding activities.
  • Coordinate HR events and maintain HR calendars and deadlines.
  • Assist with employee communications and distribution of HR information.
  • Support HR projects and process improvements; identify efficiency opportunities.

Compensation range: $58,000-$66,700 per annum

Summary

American Progress is seeking a Human Resources (HR) Coordinator to join its dynamic Human Resources team. The HR Coordinator provides administrative, transactional, and operational support to the HR function, maintaining employee records; processing routine transactions; and supporting recruitment, onboarding, and reporting. This role regularly handles confidential employee, payroll, benefits, and performance information and is expected to maintain strict confidentiality and comply with applicable policies and legal requirements. As a key point of coordination between HR, employees, managers, and other teams and departments, the HR Coordinator is central to the team's day-to-day operational effectiveness.

This role will also support the HR team in addressing outstanding administrative responsibilities and establishing consistent processes that improve data accuracy, documentation, compliance, and service delivery. The ideal candidate will be driven by American Progress' mission to improve the lives of all Americans through bold, progressive ideas, as well as strong leadership and concerted action, with the aim of not only changing the conversation, but changing the country.

Responsibilities:

  • Enter, update, and maintain HR files, employee information, forms, records, and confidential information, including new-hire information, in HRIS and other HR systems in accordance with established policies and requirements.
  • Process and track employee status changes and routine transactions across the employee life cycle, including new hires, transfers, promotions, leaves, and terminations.
  • Prepare routine HR reports, spreadsheets, tracking documents, correspondence, presentations, and other HR materials.
  • Assist with HR data collection, reporting, audits, and special projects; identify data discrepancies and coordinate corrections with appropriate stakeholders.
  • Provide administrative support to the Human Resources team and chief operating officer and throughout key HR processes.
  • Assist with the preparation of transfer, promotion, and employment verification letters.
  • Respond to routine employee questions, help them navigate standard HR processes, and direct more complex matters to the appropriate HR team member.
  • Maintain confidential employee information and exercise appropriate discretion when handling sensitive matters.
  • Monitor the completion of required forms, acknowledgments, and documentation, and assist with maintaining accurate records needed for internal and external reporting.
  • Follow organizational policies and applicable federal, state, and local employment requirements.
  • Manage the collection and coordination of pre-employment and new-hire paperwork.
  • Plan and coordinate onboarding activities and orientation logistics, confirming that all required new-hire documentation is completed.
  • Coordinate HR events and activities, and maintain HR calendars, trackers, and deadlines.
  • Assist with employee communications and distribution of HR information.
  • Support HR projects, process improvements, and organizational initiatives, and identify opportunities to streamline routine processes and improve administrative efficiency.
  • Perform other duties and special projects as assigned.

Requirements and qualifications:

  • Associate or bachelor's degree in human resources, business administration, or a related field preferred.
  • 1-3 years of administrative, human resources, office, or related experience preferred.
  • Previous experience in a human resources or administrative support role, along with familiarity with basic employment practices and HR processes.
  • Strong computer skills, including proficiency with Microsoft Office suite, and the ability to learn and effectively use HRIS, applicant tracking, payroll/benefits, or other HR-related systems. Prior experience with these systems is a plus.
  • Experience preparing reports and working with spreadsheets, and the ability to organize and maintain electronic and paper records.
  • Strong attention to detail and organizational skills, with the ability to perform routine computer and administrative duties for extended periods.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong written and verbal communication skills, including the ability to communicate effectively through telephone, email, video conferencing, and in-person interactions.
  • Ability to juggle multiple priorities and meet tight deadlines, apply strong critical thinking and problem-solving skills, and work independently while collaborating effectively with employees and managers at all levels of the organization.
