Job Overview
The HR Coordinator is a high-impact role at MediVera and a critical member of a growing HR team. At its core, this role leads the front-end recruiting process at MediVera and partners directly with the Director of HR and hiring managers across every department. This position reports directly to the Director of HR.
Job Responsibilities:
- Own the full front-end recruiting process for all open positions — from the moment a requisition opens to the moment a shortlist of qualified candidates is in the hiring manager’s hands. This is the heart of the role, and we expect it to be done with urgency, precision, and pride in every single search.
- Partner directly with hiring managers and department heads across the organization to deeply understand what each team needs — the skills, the personality, the work style — before sourcing a single candidate, because finding the right person starts with truly understanding the role. Respect for All means every department deserves a thoughtful, tailored search.
- Proactively source candidates across multiple channels — job boards, LinkedIn, referrals, and beyond — building a pipeline that doesn’t wait for applicants to come to us.
- Review and evaluate the full applicant pool for each position, applying a rigorous and consistent lens to narrow the field down to the strongest candidates for phone screening.
- Conduct thorough initial phone screens with all shortlisted candidates — assessing communication, culture alignment, and role fit — and deliver a clear, well-documented shortlist to the hiring manager with a recommendation on each candidate.
- Schedule and coordinate interviews between shortlisted candidates and hiring managers, ensuring a seamless experience for all parties and professional communication at every touchpoint.
- Own all candidate communication throughout the process — confirmation messages, pre-interview reminders, day‑of logistics, and a warm, professional welcome when candidates arrive — because how we treat candidates is a direct reflection of who we are as an organization and the positive team spirit we bring to everything we do.
- Own and continuously optimize the Applicant Tracking System (ATS) — maintain accurate, real‑time records across all open requisitions and look for ways to make the system work harder for the team. Embrace a Growth Mindset means the ATS should always be getting better.
- Create offer letters for selected candidates, ensuring accuracy and a professional candidate experience through the final stage of the recruiting process.
- Own all pre‑start onboarding activity — sending onboarding documents, building new hire folders, preparing swag bags, and ensuring every future team member has everything they need before their first day begins.
- Ensure all pre‑start onboarding checklists and offboarding checklists are completed accurately, on time, and fully documented — because Take Pride in Everything You Do means the details matter, every time.
- Serve as the primary backup for payroll processing — step in with full confidence and accuracy when needed, treating employee pay with the care and urgency it deserves.
- Support HR leadership with data gathering, newsletter contributions, and presentation preparation — bringing the same standard of excellence to support work as to everything else.
- Assist with the planning and execution of employee events — bringing energy, creativity, and reliable follow‑through to every experience we create for our team.
- Support HR with additional administrative needs as they arise, approaching every ask with a Work Your Hardest mindset and a willingness to do what the team needs.
- Continuously identify inefficiencies in HR processes and bring solutions — we want someone who sees what could be better and takes ownership of making it so.

Attributes & Skills
- 2–4 years of experience in an HR, recruiting, talent acquisition, or related administrative role — enough experience to contribute immediately, enough runway to grow significantly.
- A bachelor’s degree in Human Resources, Business, or a related field is preferred; an HR‑specific certification (PHR, SHRM‑CP, or equivalent) is also strongly valued. We are open to being surprised by the right candidate regardless of formal credentials.
- Genuine hunger and ambition — you are not looking for a comfortable job, you are looking for a place to build something and grow. You have a track record of making the environments around you better.
- An obsession with process improvement — you do not accept ‘this is how we’ve always done it’ and you have examples of processes you’ve improved, streamlined, or built from scratch.
- Exceptional organizational skills and the ability to manage multiple open requisitions, competing priorities, and complex logistics simultaneously without losing accuracy or momentum.
- Outstanding interpersonal and communication skills — you build trust quickly with candidates, hiring managers, and employees at every level of the organization, because strong relationships are the foundation of great recruiting.
- Experience with an HRIS or ATS platform; UKG experience is a strong and specific advantage.
- Proficiency in Google Workspace (Gmail, Google Calendar, Google Meet) and Microsoft Office Suite.
- High degree of discretion, professionalism, and confidentiality — you handle sensitive information and situations with the maturity and judgment they require.
- Excellent cross‑functional partnership skills — this role works closely with hiring managers and department heads across the entire organization and must be able to build relationships, ask the right questions, and deliver results across every team.
