Job summary

Maryville University is seeking a Human Resources Coordinator to join our Human Resources team. In this role, you’ll play an important part in creating a positive and efficient experience for our employees and students while coordinating several high-volume HR programs and processes.

You’ll take primary ownership of Maryville’s student employment program while supporting adjunct faculty onboarding, new employee onboarding, employment compliance, graduate assistantships and apprenticeships, and

Qualifications

  • Bachelor's degree in Human Resources, Business, or a closely related field.
  • At least two years of experience in Human Resources or an administrative support role.
  • Strong organizational skills and exceptional attention to detail, particularly when managing multiple deadlines and high-volume processes.
  • Excellent written and verbal communication skills with a service-oriented approach.
  • Ability to exercise sound judgment, discretion, and a high degree of confidentiality when working with sensitive employee and organizational information.
  • Proficiency with Microsoft Office and experience working within an HRIS or similar system.
  • Knowledge of federal work-study programs is a plus.

Responsibilities

  • Coordinate Maryville's student employment program and serve as a key HR resource for student employees and supervisors.
  • Maintain student employment job descriptions, resources, records, and communications.
  • Coordinate work-study student orientation and student employee recognition and retention initiatives.
  • Support annual student employee performance reviews and help address questions or concerns between students and supervisors.
  • Monitor student employment budgets, expenditures, and available work hours and proactively communicate with supervisors regarding potential issues.
  • Support students in connecting campus employment experiences with their professional and career development.
  • Partner with Adjunct Coordinators to facilitate a smooth and timely onboarding experience for adjunct faculty.
  • Coordinate post-offer background checks, adjunct communications, credentialing in Colleague, and distribution of onboarding and welcome resources.
  • Support new employee orientation and other employee onboarding activities.
  • Complete and audit Form I-9 documentation for adjunct, part-time, and full-time employees, helping ensure accurate and timely recordkeeping.
  • Partner with the HR team on projects and initiatives that support Maryville's broader people strategy.
  • Maintain accurate employee records, personnel files, organizational charts, and other HR documentation.
  • Support HR communications, including the monthly employee newsletter.
  • Help administer graduate assistantship and apprenticeship programs, including applications, budget proposals, recruitment support, onboarding, payroll setup, and exit interviews.
  • Coordinate seasonal camp worker onboarding, including offer letters, background checks, I-9s, compliance training, credentialing, payroll coordination, and related communications.

What You'll Do
Lead Student Employment Programs

Work Environment

This position is expected to work on campus five days per week. The role may become eligible for a hybrid work arrangement in the future, subject to business needs and organizational approval, with a maximum of 2 remote workdays per week.

One change I made intentionally: I elevated attention to detail, follow-through, prioritization, proactive communication, and comfort with high-volume work in the candidate-facing language. Given the actual responsibilities of this role, I think those characteristics are just as important to screen for as prior HR experience.
