Job summary

Qualifications

  • Experience with ADP WorkforceNow preferred but not required.

Responsibilities

  • Coordinate Board and committee meetings; prepare minutes and track action items.

SUMMARY:

The Human Resources Coordinator serves as a key support role within the Human Resources department and assists with essential office administration functions. This role helps ensure a positive employee experience by supporting recruitment, onboarding, payroll administration, benefits administration, employee records management, and day-to-day administrative operations.

ESSENTIAL FUNCTIONS:

  • Serve as a primary point of contact for routine employee questions regarding onboarding, benefits, payroll, timekeeping, and HR processes, escalating complex, sensitive, or employee relations matters to the Human Resources Director as appropriate.
  • Coordinate new hire onboarding and process employee transactions in HRIS, including new hires, status and compensation changes, benefit enrollments, and separations.
  • Assist with payroll administration, including timecard review, payroll processing, wage garnishments, employment verifications, and related recordkeeping.
  • Support recruitment by posting positions, coordinating interviews, communicating with candidates, and assisting with pre-employment requirements.
  • Maintain accurate and organized employee records, HR systems, personnel files, and required documentation.
  • Support employee engagement, recognition, wellness, training, and other organizational initiatives.
  • Provide administrative and executive support to the CEO and, as needed, the Executive Team, including scheduling, correspondence, document preparation, and special projects.
  • Coordinate Board and committee meetings, including scheduling, meeting materials, logistics, and communication with Board members.
  • Serve as the designated note-taker for Board, committee, Executive Team, and other meetings as assigned; prepare minutes and track action items and follow-up.
  • Coordinate incoming and outgoing mail, postage, document shredding, and other general administrative functions.
  • Prepare reports, track data, and assist with projects supporting Human Resources, executive leadership, and organizational goals.
  • Maintain confidentiality and exercise sound judgment and discretion when handling sensitive employee, executive, Board, and organizational information.

EDUCATION & EXPERIENCE:

  • High School Diploma or GED
  • Associate degree in Human Resources, Business Administration, or related field.
  • Two or more years of payroll or human resources experience preferred.
  • Equivalent combinations of education and experience may be considered.
  • Experience with ADP WorkforceNow preferred but not required.

KNOWLEDGE, SKILLS & ABILITIES:

Must possess strong organizational and administrative skills with the ability to manage multiple priorities while maintaining accuracy and attention to detail. This position requires excellent interpersonal, customer service, verbal, and written communication skills, as well as the ability to build positive working relationships with employees, applicants, volunteers, and community partners. The successful candidate will demonstrate professionalism, sound judgment, and discretion when handling confidential and sensitive information. Proficiency in Microsoft Office applications and the ability to learn and utilize HRIS, payroll, benefits administration, and applicant tracking systems are essential. The ability to work independently, adapt to changing priorities, identify issues, and appropriately elevate complex employee matters to the Human Resources Director is also required. A commitment to providing exceptional service while supporting both Human Resources and administrative operations is critical to success in this role.

PHYSICAL REQUIREMENTS & WORKING CONDITIONS:

  • Ability to sit, stand, walk, bend, reach, and perform repetitive hand and wrist movements throughout the workday.
  • Ability to operate standard office equipment, including computers, printers, copiers, telephones, and other office technology.
  • Ability to occasionally lift, carry, push, or pull up to 25 pounds.
  • Ability to travel between Active Generations locations as needed.
  • Ability to communicate effectively in person, by telephone, and through electronic communication.
  • Ability to read, interpret, and prepare written documents and electronic records.
  • Ability to work in a typical office environment with moderate noise levels and frequent interruptions.
