Responsibilities

  • Serve as the HR department contact by managing the inbox and responding to inquiries confidentially.
  • Coordinate full-cycle recruitment: post jobs, screen applicants, schedule interviews, reference/background checks.
  • Partner with managers to recruit, interview, and hire qualified candidates.
  • Coordinate onboarding and orientation to ensure a positive and compliant experience.
  • Provide backup support for physician onboarding as needed.
  • Process status changes for hires, transfers, promotions, and separations; prepare termination docs for non-physician staff.
  • Maintain confidential personnel files and HRIS payroll records; ensure compliance and retention policies.
  • Audit personnel records for data integrity and regulatory compliance.
  • Coordinate employee compliance training and education, including ARRT/ARDMS invoicing for technologists.
  • Assist in developing and communicating HR policies, handbooks, and forms.
  • Coordinate employee recognition and wellness/engagement initiatives.
  • Support transitions and separations; ensure lawful and policy-aligned processes.
  • Prepare HR and physician-related reports; assist audits and special projects.
  • Keep intranet updated with Wellness, EAP, and recognition information.
  • Handle sensitive information with confidentiality and HIPAA compliance.
  • Build positive relationships with employees, physicians, managers, vendors, and the public.

Summary of Position

The Human Resources Coordinator provides administrative and operational support for the Human Resources department by coordinating recruitment, onboarding, employee records, compliance training, and employee engagement programs. This position serves as a trusted resource for employees while maintaining the confidentiality of sensitive information and ensuring compliance with employment laws, organizational policies, and applicable healthcare privacy regulations.

Essential Functions
  • Serve as the point of contact for the Human Resources department by managing the HR inbox and responding to employee inquiries in a timely, professional, and confidential manner.
  • Coordinate the full‑cycle recruitment process, including posting positions, screening applicants, scheduling interviews, conducting reference checks, initiating background checks, and ensuring compliance with all applicable federal and state employment laws.
  • Partner with department managers and supervisors to recruit, interview, and hire qualified candidates to meet organizational staffing needs.
  • Coordinate and facilitate new employee onboarding and orientation to ensure a positive, engaging, and compliant onboarding experience.
  • Provide backup support for physician onboarding as needed.
  • Process employee status changes, including new hires, transfers, promotions, and separations, and prepare termination documentation for all non‑physician employees.
  • Maintain accurate, confidential personnel files and payroll/HRIS system; ensure employment documentation is complete, accurate, and maintained in accordance with record retention requirements.
  • Conduct routine audits of personnel records and HR documentation to ensure data integrity, regulatory compliance, and adherence to organizational policies.
  • Coordinate and maintain employee compliance training and required education, ensuring timely completion of mandatory organizational and regulatory training requirements. Manages annual technologist membership with ARRT and ARDMS invoicing and new technologist member enrollment.
  • Assist in the development, revision, implementation, and communication of Human Resources policies, procedures, employee handbooks, forms, and related documentation.
  • Coordinate employee recognition program and support employee engagement initiatives, including active participation on the Wellness Committee and quarterly Managers meeting.
  • Support employee transitions, including transfers and separations, ensuring processes comply with employment laws, organizational policies, and best practices.
  • Prepare HR reports, Physician surveys, Physician performance reviews, Physician verification of employment, maintain department records, and assist with audits, compliance reporting, and special projects (Bulletin board, memorial request, race reimbursements).
  • Maintain a thorough understanding of organizational policies, procedures, employment regulations, and Human Resources best practices. Keeping company intranet updated for Wellness, EAP, Employee Recognition.
  • Handle sensitive employee information with the highest level of confidentiality and maintain compliance with HIPAA, privacy regulations, and organizational confidentiality policies, as applicable.
  • Build and maintain positive working relationships with employees, physicians, managers, vendors, and the public while delivering exceptional customer service.
  • Model and promote the organization’s mission, vision, and core values in all interactions with employees, applicants, and external partners.
  • Participate as an active member of the Human Resources team by contributing ideas, identifying opportunities for process improvement, and supporting departmental initiatives.
  • Participate in professional development opportunities to maintain current Human Resources knowledge and apply best practices within the organization.
  • Travel locally as needed to support Human Resources activities.
  • Maintain regular, reliable attendance and punctuality.
  • Perform other duties as assigned.
Qualifications
  • Bachelor’s Degree in Human Resources or Business preferred.
  • Previous experience recruiting, staffing and processing payroll a plus.
  • Ability to maintain strict confidentiality.
  • Ability to coach employees and management through complex and difficult issues.
Daily Physical Demands
  • Requires prolonged sitting, some bending, stooping and stretching.
  • Requires eye‑hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
  • Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports.
  • Requires lifting papers or boxes up to 50 pounds occasionally.
Environment / Working Conditions
  • Working under stressful situations and frequent contact, in person and on the telephone with associates and the public and may involve dealing with angry or upset people.
  • Manual dexterity required for daily use phone and computer keyboard.
  • Low‑potential exposure to communicable diseases, blood products, bodily fluids and/or hazardous materials common to a radiology setting.
  • Low‑potential exposure to ionizing radiation exams rooms and/or involved in the use of ionizing radiation common to a radiology setting.
