Job description

Nan McKay & Associates is hiring a People Partner, Coordinator (Human Resources) to support a positive employee experience across the hiring lifecycle. This onsite role in Frankfort, KY focuses on employee relations support and coordinating recruiting, onboarding, and key HR processes under the direct general supervision of the Director of Human Resources.

The coordinator will work closely with internal and external applicants, hiring managers, and HR stakeholders to manage selections, interviews, and onboarding activities, while also helping ensure HR policies and documentation are handled accurately and on time.

Key Responsibilities
  • Provide employee relation support as needed and perform other duties as assigned.
  • Work under the direct general supervision of the Director of Human Resources and support all NMA offices as needed (no staff supervision required).
  • Approve terminations and new hires.
  • Attract and recruit applicants by placing job advertisements and using job sites to meet staffing objectives.
  • Establish recruiting requirements by reviewing organization plans and objectives and meeting with managers to discuss needs, requirements, and qualifications.
  • Build applicant sources by researching and contacting community services, colleges, employment agencies, recruiters, media, and internet sites.
  • Provide organization information, opportunities, and benefits through presentations and by maintaining rapport related to new hire orientation.
  • Determine applicant requirements by studying job descriptions and job qualifications.
  • Evaluate applicants through resume pre-screening, interviewing, analyzing responses, verifying references, and comparing qualifications to job requirements.
  • Arrange management interviews by coordinating schedules, travel, lodging, meals, and community tours.
  • Improve organization attractiveness by recommending policies and practices, monitoring job offers and compensation practices, and emphasizing benefits and perks.
  • Avoid legal challenges by understanding current legislation, enforcing regulations with managers, and recommending new procedures related to onboarding, recruiting, and interviewing.
  • Update job knowledge through educational opportunities, professional publications, professional networks, and participation in professional organizations.
  • Support human resources and the organization mission by completing related tasks as needed, including special projects assigned to the role.
Onboarding, Offers, and Employment Operations
  • Arrange interviews for transfers and promotions.
  • If an offer is to be presented, email People Partner, People and Culture to prepare the offer letter and PAF.
  • If a candidate is not selected, send a rejection email and notify People Partner, People and Culture to schedule a meeting for interview feedback.
  • Organize and execute job fairs.
  • Assist with recruiting and staffing for new projects and offices.
  • Complete onboarding steps including offer letters, background check review (pass/fail), ADP Portals, and the SharePoint Site.
  • Complete sexual harassment training and conduct an audit for all steps on the new hire SharePoint process.
  • Alert payroll to move employees to hired status via email and SharePoint.
  • Complete the Form I-9 within 3 business days.
  • Review COI and add COI data into employee notes (if any).
  • Report within 24 hours of any reported items to the HR Director.
HR Support, Staffing, and Policy Interpretation
  • Provide comprehensive HR services to NMA programs and deliver support across NMA office(s).
  • Analyze HR issues and provide expert advice, training, and policy interpretation to program management staff.
  • Analyze and research policies across classification, compensation, recruitment and employment, performance evaluations, disciplinary actions, benefits administration, separation/layoffs, leaves of absence, staff merit, and payroll assistance.
  • Support management with promotions, demotions, employee documentation and write-ups, performance plans, employee reviews, and terminations (voluntary and involuntary).
  • Coordinate and assist with leaves of absence including voluntary, FMLA, and reasonable accommodations as needed.
  • Coordinate staffing and recruiting for line staff positions.
  • Process transfers immediately and offboards immediately.
  • People Partner, Talent Acquisition communicates transfers and promotion interview outcomes.
  • Maintain reporting including new hire/term date reporting monthly, COI list, and employee roster.
  • Process, communicate, and assist management with promotions and demotions as needed, and provide additional HR support as assigned.

  • Expected hours: 40.0 per week
  • Pay: Up to $20.00 per hour
Required Qualifications
  • Highly motivated with a positive attitude; demonstrates patience, teamwork, critical thinking, and emotional intelligence.
  • Demonstrated experience with complex personnel functions such as recruitment and selection, compensation, employee relations, reviews and evaluations, benefits administration, and termination/layoffs.
  • Experience performing job analysis and creating job descriptions, including knowledge of classification and compensation levels for program roles (technical, professional, administrative, and clerical positions).
  • Knowledge of HR policies and programs and how they affect program policies and procedures.
  • Ability to evaluate, interpret, and implement policies and procedures related to payroll and employment.
  • Knowledge of an HRMS and related business software systems; ADP Workforce is a plus.
  • Strong computer skills using business software (spreadsheets, word-processing, databases) and willingness to update skills and knowledge.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent written communication skills with the ability to write concisely and summarize clearly.
  • Maintain strict confidentiality and use discretionary practices.
  • Background clearance is required for the job offer to be contingent upon a satisfactory applicant clearance.
  • Computer experience including MS Office applications.
  • Experience: 2-4 years exempt and non-exempt recruiting experience in a full life-cycle environment, including managing multiple high-volume roles simultaneously.
  • Experience: Minimum 2 years recruiting in a relevant industry environment.
Education
  • Minimum bachelor’s degree (or equivalent) in Human Resources, Business, or Organization Development, or HR certification from HRCI or SHRM.
