Job summary

The Hamilton County Sheriff's Office is seeking an HR Coordinator to provide essential day-to-day support to the Human Resources team, staff, and candidates. Responsibilities include coordinating new-hire orientation, maintaining candidate files, scheduling background checks, and supporting drug testing.

Qualifications

  • Two or more years of administrative, coordination, customer-service, recruiting-support, or human-resources experience preferred.
  • Professional customer-service orientation and clear communication with candidates, employees, managers, vendors, and HR partners.
  • General Human Resources knowledge, including Recruiting, HR regulatory federal and state compliance laws.

Job description

The Hamilton County Sheriff's Office (HCSO), founded in 1803, is Ohio's 3rd largest sheriff's office. The HR Coordinator provides essential day-to-day support to the Human Resources team, agency employees, and candidates. This position has a significant role in recruitment and selection, onboarding, employee records, performance management systems, training documentation, and other HR administrative functions. The successful candidate will be organized, responsive, accurate, comfortable managing multiple deadlines, and committed to protecting confidential information.

Duties
  • Coordinates new-hire orientation activities, including benefits information, required forms, policy acknowledgments, fraud-reporting training, and review of missing documents.
  • Responsible for complete and accurate candidate and onboarding files; reviews new-hire checklists and documentation for completeness before offer-letter and onboarding processing
  • Supports the recruitment and selection process by updating candidate trackers, assigning and scheduling Computer Voice Stress Analyzer (CVSA) appointments, forwarding applications, and maintaining candidate records.
  • Schedules and supports candidate background checks and fingerprinting; obtains required consent forms, tracks results, and follows up or escalates delays when necessary.
  • Serves as the administrative point of contact for pre-employment drug testing; prepares authorization documents, explains required completion timelines, and tracks candidate compliance.
  • Coordinates uniform fitting and academy gear paperwork for incoming recruits and provides required information to Recruitment and other appropriate staff.
  • Administers civilian safety-training materials and acknowledgments; distributes training, monitors completion, notifies appropriate supervisors, and maintains training records.
  • Scans, indexes, audits, and maintains confidential employee and candidate documents in OnBase, including CVSA files, new-hire records, training acknowledgments, and prior performance evaluations.
  • Maintains Trakstar employee records by adding new hires, processing approved supervisory changes, identifying pending evaluations, preserving historical evaluations, and removing separated employees.
  • Enters required separation information into the HSD Metrics platform and maintains accurate records in accordance with established procedures.
  • Coordinates approved job-fair and career-fair registrations, prepares related invoices for approval, and supports timely payment processing.
  • Assists with recruitment and academy events, including preparation of Signing Day materials and coordination with the Recruitment team.
  • Maintains files for candidates who are not hired in accordance with agency recordkeeping requirements.
  • Provides courteous, timely assistance to candidates, employees, supervisors, and HR team members while maintaining confidentiality, accuracy, and professionalism.
  • Provides general HR administrative support across functions, including employee letters, meeting and training logistics, document routing, communications, invoice tracking, calendars, records, and request follow-ups.
  • Ensures adequate inventory of office supplies; assists in preparing a budget; attends meetings or seminars; may perform other duties or assist other employees as assigned.
  • Performs other HR administrative duties and assists with special projects as assigned.
Job Requirements
  • Two or more years of administrative, coordination, customer-service, recruiting-support, or human-resources experience preferred.
  • Professional customer-service orientation and clear communication with candidates, employees, managers, vendors, and HR partners.
  • General Human Resources Knowledge, including Recruiting, HR Regulatory Federal and State compliance laws (e.g., EEO, OSHA, FMLA, ADA, FLSA, ACA, and Title VII);
  • High degree of accuracy, data-entry quality, attention to detail, proofreading, and follow-through.
  • This position requires a high level of confidentiality.
  • Excellent written and verbal communication skills and ability to work under pressure and cope with deadlines.
  • Strong organization, scheduling, logistics coordination, and ability to manage multiple priorities and time-sensitive deadlines.
  • Self-starter with the ability to work independently and as part of a team.
  • Previous working experience with ADP is a plus
  • Previous experience with an Applicant Tracking System is a plus.
  • Must have reliable transportation.
  • Proficient in MS Office (Word, Excel, PowerPoint) and database management systems.
  • Ability to calculate fractions, decimals & percentages.
  • Ability to develop and maintain effective relationships with coworkers, leadership, and the general public.
  • Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
