Position Summary

We are currently seeking an HR Assistant. The Assistant supports human resources programs, policies, and procedures at the Plant, adhering to established guidelines. Demonstrates a high level of confidentiality and supports Sonaca North America’s policies and commitments to customer satisfaction, quality, lean processes, continuous improvement, on-time delivery, safety, teamwork, accountability, and respect for people.

Essential Job Responsibilities

Works under the close supervision of senior personnel in the functional area. Has a moderate understanding of general job aspects.

  • Perform clerical duties such as data entry, filing, and processing paperwork
  • Schedule meetings for individuals and departments
  • Draft business communications including correspondence, meeting minutes, and presentations
  • Order meals for meetings and visitors as needed
  • Enter timecards and coordinate with Leads/Managers on missing time
  • Reconcile employee time off with timecard data
  • Generate weekly hours reports for payroll
  • Distribute incoming mail
  • Scan records into databases like Workday, KEY, etc.
  • Greet guests and vendors professionally
  • Answer and route phone calls appropriately
  • Prepare onboarding folders and orientation agendas, assist with new hire onboarding
  • Track attendance issues and escalate concerns
  • Respond to employee questions
  • Assist with company town halls
  • Track training certifications and compliance deadlines
  • Perform other duties as assigned

Education and Experience

  • High school diploma or GED required; associate or bachelor’s degree preferred
  • 0-1 year of administrative support experience preferred
  • Proficient in MS Office Suite, especially Outlook
  • Excellent phone etiquette and call screening skills
  • Experience in meeting scheduling and logistics
  • Records management experience
