This HR Assistant role sits within a high-volume Staffing team that centralizes and automates manual tasks required to hire an hourly workforce. You will focus on performing repeatable administrative tasks, managing backend hiring and termination processes, and conducting quality audits of outsourced vendors. The position requires strong data management capabilities, extensive use of Excel, and the ability to handle sensitive information with accuracy, confidentiality, and sound judgment in a fast-paced environment.
Manage and own daily administrative tasks from start to finish, ensuring timely and accurate completion.
Perform backend processes related to application creation, candidate compliance information, and hiring or termination activities.
Conduct quality audits of outsourced vendors to ensure adherence to processes, accuracy, and service standards.
Import and export data within various software platforms, including Excel, ensuring accuracy, completeness, and consistency of information.
Utilize Excel extensively on a daily basis, including pivot tables and VLOOKUP functions, to analyze, organize, and report on HR data.
Develop and maintain data management systems and processes to ensure efficient handling of HR information and streamlined workflows.
Conduct regular data audits to identify, investigate, and resolve discrepancies or inaccuracies, maintaining data integrity and reliability.
Assist in the development and improvement of data management procedures and policies, implementing best practices for data security and privacy.
Handle sensitive information and documents, such as Social Security Numbers, dates of birth, and driver’s license numbers, with strict confidentiality and adherence to privacy regulations.
Escalate issues related to processes, tools, or data quality to the appropriate stakeholders when necessary.
Prepare and deliver facility reporting and communications to a broad team, including leadership, in a clear and timely manner.
Apply sound judgment to ambiguous scenarios and make informed decisions when the path forward is not clearly defined.
Identify opportunities to improve processes and tools, and contribute ideas that enhance efficiency and candidate experience.
Act as a liaison between field teams and centralized support services, ensuring clear communication and alignment on processes and expectations.
Support customer service–oriented interactions with internal stakeholders and partners, providing responsive and professional assistance.
Strong experience with Microsoft Office, with a particular emphasis on Excel.
Proficiency in Excel functions, including VLOOKUP, pivot tables, and related data analysis tools.
Experience performing administrative and repeatable tasks in a structured, high-volume environment.
Demonstrated ability to manage data imports and exports across various software platforms with a high degree of accuracy.
Proven capability to handle sensitive and confidential information in compliance with privacy regulations and internal policies.
Strong attention to detail and accuracy in data entry, reporting, and quality auditing.
Ability to apply good judgment and make decisions in ambiguous situations.
Effective written and verbal communication skills for reporting, documentation, and cross-team collaboration.
Customer service mindset, with the ability to support and communicate effectively with internal stakeholders.
Organizational skills to manage multiple tasks, priorities, and deadlines in a fast-paced setting.
Experience in human resources or HR support functions.
Experience in coordinating activities across teams or departments.
Experience working with outsourced vendors and performing quality audits of their work.
Familiarity with data management best practices, including data security and privacy standards.
Experience contributing to process improvement or workflow optimization initiatives.
Comfort working in a fast-paced, high-volume staffing or operations environment.
Ability to build collaborative relationships with field teams and centralized support functions.
This is an on-site position in Tempe and follows a schedule of four onsite days per week, typically structured as four 10-hour shifts. The environment is fast-paced and focused on high-volume staffing operations, requiring frequent interaction with internal teams and centralized support services. You will work extensively with Microsoft Excel and other software platforms to manage HR data, perform audits, and generate reports. This is a Contract position based out of Tempe, AZ.
The pay range for this position is $23.00 - $23.00/hr.
