Human Resources Assistant

Department: Packaging Operations

Employment Type: Full Time

Location: La Vergne, TN

Reporting To: Sarah Figueroa


Description
The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department

Key Responsibilities

  • Maintains accurate and up-to-date human resource files, systems, records, and documentation.
  • Update HRIS accurately and consistently.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Responsible for verifications of employment sent to HR department.
  • Assist with coding HR related billing.
  • Manage all new hire paperwork, ensure I9s and E-Verify are properly completed.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides administrative support to the HR department.
  • May assist with payroll functions including reporting, processing, answering employee questions, fixing processing errors, and distributing checks.
  • Conducts or assists with new hire orientation and onboarding.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, and retirement celebrations.
  • Greets guests and ensure check-in process is followed.
  • Responsible for answering and routing all company inbound calls
  • Back up for Office Administrator
  • Performs other duties as assigned by management

Skills, Knowledge & Expertise
EDUCATION AND FORMAL TRAINING:
  • High school diploma, or equivalent required; Associate’s or Bachelor’s degree in related field preferred.
  • Minimum of 1 year of administrative experience
KNOWLEDGE, SKILLS, AND ABILITY:
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Paylocity experience preferred but not required.
  • Bilingual in Spanish strongly preferred.
