Role:
The
Human Resources Assistant supports the day-to-day operations of the Human Resources department. This position plays a key role in maintaining accurate records, tracking credentialing and training data, and assisting with onboarding documentation, health requirements, and audit preparation. The HR Assistant collaborates to ensure smooth workflows within HR compliance functions and supports the organization’s efforts to meet regulatory and internal policy standards.
Responsibilities:
Credentialing Support
- Supports the collection and verification of required documentation for credentialing and privileging processes.
- Assists with preparing initial credentialing/privileging and re-credentialing/privileging files for review by the Manager.
- Assists with sending reminders and follow-up emails to clinical staff regarding required credentialing documents.
Occupational Health Support
- Assist with aspects of the occupational health onboarding process for new hires as needed including scheduling of required pre-employment health screenings and immunizations.
- Assists with tracking and uploading of new hire documentation to Occupational Health database.
- Supports the annual and periodic employee health compliance campaigns (e.g., flu shots).
Compliance and Reporting
- Generates, develops, and manages regular and ad hoc HR reports using Excel and other Microsoft Office tools
- Assists with updating and maintenance of personnel files.
- Supports audit preparation and compliance reviews.
- Assists with uploading new users and updating user profiles in the Learning Management System (LMS).
- Assists with sending training completion reminders to employees and supervisors.
- Participates in the development and refinement of policies and procedures.
- Monitors HR communication lines such as fax, mail and phone.
General Duties
- Ensures proper set up and documentation of meetings.
- Responds in a timely manner to requests for records, and maintains databases with accuracy.
- Prepares meeting materials and assists with documentation needs.
- Escalates non-routine compliance issues to the Manager for further escalation as needed.
- Maintains regular and punctual attendance.
- Performs other related duties as assigned.
Requirements:
- Bachelor’s Degree in Human Resources or related field with experience in a professional office environment setting (internship work-study or prior experience.
- Minimum of 3 years of experience in a Human Resources support role may substitute for Bachelor’s degree
- Experience with or understanding HRIS systems (ADP a plus) and database management.
- Prior experience in a healthcare or compliance-driven HR environment a plus.
- Proficiency in Microsoft Office 365 (Excel, Word, Outlook, Teams and PowerPoint).
- Strong attention to detail and ability to manage sensitive and confidential information.
- Excellent communication, organizational, and analytical skills.
- Ability to work independently while also collaborating effectively with others.
- Comfortable with multitasking in a fast-paced environment.
