Job summary

Blue Trust seeks a Human Resources Administrator to provide administrative support across HR tasks, events, and HR system duties. This role collaborates with the Team Services group to keep daily operations running smoothly and to assist with special projects.

The ideal candidate has 1–3 years in HR or administrative roles, a Bachelor's degree, strong organization and communication skills, and proficiency with Microsoft Office (Visio is a plus).

Role Overview

The Human Resources Administrator provides administrative support to team members and HR functions by performing a variety of complex duties in the areas of administrative support, event planning and coordination, and HR system support. This role communicates effectively with co‑workers and supports the broader Team Services group with daily operations and special projects.

Responsibilities
  • Ensure all employee processes on New Hire and Termination Checklists are completed in a timely manner.
  • Maintain HR filing systems in a neat, orderly, up‑to‑date manner (electronic filing); include creating and filing Personnel Action Forms (PAFs) to the appropriate employee file and folder, file employee reviews, assign 90‑day reviews as part of new hire checklist, file financial plan updates, save forms with correct naming convention, move terminated employee folders to the terminated file.
  • Manage scheduling requests quickly, accurately, and efficiently for all HR tasks, including Team Services meetings, event calendaring, other calendaring, verification‑of‑employment requests, and employee care requests for significant life events (ordering flowers, meals, gift cards, etc.).
  • Maintain vendor relationships for employment law posters and verify all locations in compliance.
  • Filter and route HR support e‑mail questions to appropriate team members.
  • Create expense reports and manage corporate card statement reconciliation for team members.
  • Maintain and update the annual HR Planning Calendar with event planning dates for new hire orientations, benefit orientations, legacy summit, The Conclave, pay data due dates, budget planning cycles, open enrollment, performance review, merit increases, bonus payout cycles, etc.
  • Assist with planning and executing office events (half day of prayer, culture committee, internship national office visit, team services outings, community volunteer projects, staff meetings, special lunches, etc.).
  • Provide support for Team Services training events (Legacy Summit, The Conclave, CSA Connection, Talent Acquisition events, etc.).
  • Manage the Blue Trust Acronyms Document.
  • Generate reports from various information tracking systems as needed.
  • Order meals for meetings and reserve conference rooms for HR team.
  • Assist with coordinating travel arrangements for Team Services members or in support of other programs such as the Intern National Office Visit.
  • Anticipate needs and stay “ahead of the curve.”
  • Create and administer employee surveys and Survey Monkey account.
  • Lead the Home Office Culture Committee and support administrative aspects of Culture Committee work and activities.
  • Other duties as assigned.
  • Supply maintenance – maintain and organize the Team Services supply closet, check and replenish supplies, restock office/event supplies, compile and ship new hire packets, coordinate special supply orders for awards and events.
  • Monthly reporting – maintain and update organizational charts and directories, run ad‑hoc reports, manage bi‑annual remote and moonlighting audits.
  • Maintain the highest compliance standards by adhering to the company's Human Resources guidelines, Compliance policies and procedures, professional designation standards, and industry regulatory standards to mitigate risk to the company.

Education, Experience & Skills
  • 1–3 years of experience in human resources and/or administrative roles required.
  • Bachelor’s degree required; degree in human resources, business, or a related field a plus.
Certifications, Licenses and Registrations
  • Additional education and credentials are a plus, such as a PHR, SPHR, SHRM‑CP, or SHRM‑SCP.
