Zeeland Public Schools in Zeeland, MI is seeking a Human Resources Administrative Assistant to support the Assistant Superintendent of Administrative Services, handling HR functions and safeguarding confidential staff information. The role includes onboarding/offboarding, evaluating staff, and reports aligned with district/state requirements.

The position collaborates with the Business department on payroll and budgeting, maintains staff and qualification records, and administers FMLA processes

Qualifications

  • Bachelor’s degree in a related field or equivalent combination of education and related experience.
  • Experience in human resources, and/or management, preferably in a school setting.
  • Ability to operate with a high level of integrity handling confidential information.
  • Excellent communication and interpersonal skills required to interact with applicants, administrators, staff and community.
  • Strong problem-solving and organizational skills with attention to detail.
  • Be an Ottawa County Notary Public or willing to obtain.

Responsibilities

  • Administrator for the district’s job application system. Provide support for principals, supervisors, and applicants with the job application system.
  • Coordinate and track professional staff, support staff, administrators, and salaried staff evaluations. Upload teacher final evaluation scores into REP Report.
  • Process all forms and paperwork required for onboarding and offboarding employees according to district standards and procedures.
  • Maintain personnel files for all district employees, keeping information current and accurate, including professional development days, tenure status, mentor/mentee records.
  • Work closely with the Business department for payroll and budgeting purposes.
  • Maintain staff lists, years of experience list and continuing education lists.
  • Maintain separate employee confidential files, including disciplinary information, suspensions and communications from administration and the Board of Education.
  • Assist principals and supervisors with staff disciplinary issues.
  • Track and upload Professional Development Days into MOECS for teachers, itinerant staff, and administrators.
  • Track and monitor yearly tuition reimbursement program for teachers and ensure it doesn’t exceed set cap limits.
  • Administer and track all Family Medical Leave Act (FMLA) medical and maternity leave requests.
  • Maintain and update job descriptions for current and new positions. Create job posting templates for each position.
  • Process PA189’s (Unprofessional Conduct) for new employees. Respond to PA189’s received from other school districts.
  • Serve as the initial point of contact for all employee related questions.
  • Develop and produce professional looking documents for the office of Human Resources.
  • Oversee compliance of state and federal mandates and laws in regards to school employees.
  • Administer and interpret district personnel policies using the Master Agreement & BoardDocs.
  • Attend meetings and interviews as appropriate.
  • Gather information and conduct special projects on behalf of administration for negotiations.
  • Prepare and accurately report the REP Report twice a year. Make sure any employee moves are updated in system within 30 days of occurrence. Ensure that all teachers are teaching the courses they are endorsed to teach for the appropriate age group.

Zeeland Public Schools has a great opportunity for a Human Resources Administrative Assistant at the Administration Office. Working with the Assistant Superintendent of Administrative Services, the Human Resource Administrative Assistant will perform human resources functions and provide high-quality customer service to staff at all levels of the organization while maintaining confidentiality. S/he will assist in all facets of district operations as assigned. These include, but are not limited to, the development and management of instructional and support staff procedures, teacher certification, staff needs and reporting as per the requirements of the district and the State of Michigan. S/he shall provide support to administrators regarding personnel policies and procedures.

Responsibilities:

  • Must have the ability to operate effectively and with a high level of integrity in an environment handling confidential/sensitive information.
  • Ability to work cooperatively with diverse individuals/groups. Must have excellent communication and interpersonal skills required to interact effectively with applicants, administrators, staff and community.
  • Strong problem-solving and research skills required.
  • Strong project management and organizational skills with excellent attention to detail is required.
  • Be an Ottawa County Notary Public or be willing to obtain.

Schedule:

  • 40 hours per week, 52 weeks/year

Compensation:

  • Level 6 – $23.07 – $27.00
