Job Description

The Office Administrator is responsible for duties related to the operations of the corporate headquarters, including ordering and maintaining stock of supplies, overseeing mail and packages, answering phones, receiving visitors, and managing uniform inventory. This role reports to the Director of IT and Workplace Management and supports the Senior Leadership team as needed.

Duties and Responsibilities
  1. Answer main phone line and direct callers, taking messages as needed.
  2. Greet and direct visitors.
  3. Maintain inventory of office and kitchen supplies; place orders regularly.
  4. Handle mail and deliveries (USPS, FedEx, UPS, etc.).
  5. Manage the uniform ordering system and inventory.
  6. Order food & beverage weekly, monthly, and on-demand.
  7. Ensure shared office spaces are tidy and organized.
  8. Update internal contact information and distribution lists.
  9. Draft and distribute corporate communications.
  10. Support Senior Leadership with travel arrangements.
  11. Perform other administrative duties as needed.
Skills Required and Physical Demands
  1. Effective communication with customers, vendors, and staff at all levels.
  2. Proficiency in Microsoft Office, especially spreadsheets.
  3. Strong organizational and multitasking skills with attention to detail.
  4. Problem-solving skills and adaptability.
  5. Professional appearance and conduct.
Education and Qualifications

Minimum of one year of experience in office administration, reception, customer service, or similar. A Bachelor’s degree or an Associate degree with relevant experience is preferred.
