Working under the guidance of the Director of People & Culture, this role partners closely with ADP, hiring managers, and new hires to keep multi‑state, multi‑entity HR operations accurate, timely, and compliant.

This is a flexible, part-time opportunity (25–29 hours per week) well suited to an experienced HR professional who wants meaningful work without a full‑time commitment. Hours can be arranged to fit a flexible weekly schedule.

Responsibilities
Recruiting & Internship Management
  • Coordinate recruiting efforts, including job postings, candidate communication, and interview scheduling.
  • Prepare and support the distribution of internship offer letters.
  • Set up internship compensation in HR/payroll systems and process compensation end dates upon completion.
  • Manage end‑of‑internship logistics, including final paperwork, system deactivation, and offboarding.
  • Collect and maintain internship completion documentation provided by the intern's supervisor.
I-9 & E-Verify Compliance
  • Manage Form I‑9 completion for all new hires, ensuring timely Section 1 and Section 2 processing.
  • Create and manage E‑Verify cases, including timely resolution of tentative nonconfirmations.
  • Maintain I‑9 and E‑Verify documentation in accordance with federal retention and storage guidelines.
  • Track reverification deadlines for employees with limited work authorization and follow up proactively.
  • Support I‑9 and E‑Verify audits and respond to documentation requests as needed.
Onboarding & Employee Records
  • Manage onboarding logistics, documentation, and new hire setup across supported entities.
  • Maintain accurate employee records and HR systems, including ADP and internal tracking tools.
  • Support the distribution and collection of employee acknowledgements, including handbook and policy acknowledgements.
Payroll & Benefits Support
  • Support employee updates throughout HR systems and payroll administration, including new hires, employee changes, terminations, and data review.
  • Assist with benefits enrollment and eligibility changes.
  • Escalate payroll and benefits issues and support follow‑up through resolution.
HR Mailbox & Employee Inquiries
  • Monitor and respond to HR mailbox inquiries; triage and route requests as appropriate.
  • Ensure timely follow‑up on employee questions and elevate complex issues to the Director of People & Culture.
Compliance & Reporting
  • Support HR reporting, including turnover, headcount, hiring activity, and compliance tracking.
  • Track compliance requirements, including required postings, filings, and acknowledgement deadlines, and support audits.
  • Assist with job description development and updates.
Qualifications
  • 3–5 years of experience in HR, recruiting coordination, or administrative operations.
  • Familiarity with HR systems such as ADP Workforce Now, or the ability to learn new systems quickly.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Clear, professional written communication skills for employee, candidate, and internal correspondence.
  • Comfort working across multiple states and entities, with an understanding that processes may vary by jurisdiction.
Preferred Qualifications
  • Experience supporting multiple entities or clients simultaneously within a shared services environment.
