Job summary

Sonar in Austin, TX, seeks an HR Operations Specialist to keep the employee lifecycle running smoothly, accurately, and in compliance with local requirements. This hands-on role provides the operational foundation for the global HR organization and supports employees around the world.

You will guide onboarding, ensure data quality, assist payroll, respond to complex questions, maintain records, and manage offboarding, visa and relocation, benefits, and EOR relationships.

Qualifications

Responsibilities

  • Visa & Relocation Support: Coordinate immigration and relocation logistics.
  • Benefits Administration Support: Manage enrollment and changes in benefits.
  • Employee of Record (EOR) Management: Handle EOR/PEO relationships where needed.
  • Background Checks: Coordinate and track pre-employment checks.
  • Reporting: Produce workforce metrics reports for decision-making.

Position Description

The HR Operations Specialist keeps the fundamentals of the employee lifecycle running smoothly, accurately, and in compliance with local requirements — from the day someone joins the company to the day they leave. This role is hands-on and detail-driven, providing the operational foundation that allows the broader HR organization to function with accurate data, timely processes, and dependable support for employees around the world.

What You Will Do
  • Onboarding: Guide new hires through the onboarding process, ensuring information is captured accurately and all required steps are completed on time and in line with local requirements.
  • Data Quality: Regularly review employee records to catch and correct errors or gaps, keeping employee data accurate, complete, and audit-ready.
  • Payroll Support: Partner with payroll teams and vendors to confirm that pay, bonus, and deduction information is correct before each pay cycle.
  • Employee Support: Respond to more complex employee questions and issues that go beyond basic inquiries, working through problems until they’re resolved.
  • Compliance Recordkeeping: Keep required employment documents, forms, and policy records organized, current, and easy to retrieve.
  • Offboarding & Transitions: Support employees moving out of the organization — whether by resignation or termination — making sure pay, final documentation, and access changes happen correctly and on schedule.
  • Visa & Relocation Support: Coordinate visa applications, renewals, and relocation logistics for employees moving across borders, ensuring compliance with immigration requirements and a smooth transition for the employee.
  • Benefits Administration Support: Support enrollment, changes, and day-to-day administration of employee benefits programs, ensuring accuracy and timely resolution of employee questions.
  • Employee of Record (EOR) Management: Manage relationships and processes with Employer/Employee of Record providers in markets where the company does not have a direct legal entity, ensuring accurate and compliant employment arrangements.
  • Background Checks: Coordinate and track pre-employment and other required background checks, ensuring timely completion and proper handling of results in line with company policy and local law.
  • Reporting: Prepare regular reports on workforce metrics (such as headcount, turnover, and pay trends) that others in the organization rely on to make decisions.
Experience And Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent hands-on experience.
  • Solid, progressive experience in HR operations, ideally spanning multiple HR disciplines (e.g., onboarding, benefits, immigration/relocation, compliance) rather than a single narrow function.
  • Demonstrated ability to manage processes and initiatives end-to-end — planning the work, coordinating with vendors and stakeholders, tracking progress, and driving things to completion without needing close direction.
  • Comfortable owning ambiguous or non-routine situations (e.g., a complex visa case, an EOR transition, a benefits escalation) and figuring out the right path forward, escalating only when truly needed.
  • Experience working with external vendors and partners (e.g., immigration counsel, benefits providers, EOR/PEO partners, background check vendors) and holding them accountable to timelines and quality.
  • Strong working knowledge of HR systems and technology to manage records and processes.
  • Good understanding of employment compliance and regulatory considerations across multiple jurisdictions, with sound judgment about risk.
  • Excellent organizational and prioritization skills, able to manage several concurrent workstreams with competing deadlines.
  • Clear, confident communication — able to guide employees and stakeholders through complex or sensitive processes.
  • Trustworthy with confidential and sensitive information.
  • A proactive, resourceful operator who takes ownership rather than waiting to be told what to do; thrives with minimal supervision in a fast-moving, global environment.
