Job description

Job Title: HR Coordinator

Reports to: Sr. HR Manager

FLSA Class: Exempt

Job Overview: This is a hands‑on operational HR role focused on the day‑to‑day execution of benefits administration, compliance, onboarding, recruiting coordination, and HR systems work. You will own recurring deliverables, handle details independently, and thrive in a small, lean HR team. About 80% of the work is execution and recurring operations; strategy or culture focus is minimal.

This position is office based.

Responsibilities

Benefits Administration and Compliance

  • Audit monthly benefits invoices against enrollment data, identify discrepancies, and resolve them directly with carriers.
  • Process benefits enrollments, changes, and terminations in the HRIS.
  • Support annual open enrollment from preparation through reconciliation.
  • Administer leave of absence programs including FMLA, CFRA, PDL, and ADA accommodations from intake through return to work.
  • Maintain OSHA 300 logs, post the 300A annually, manage incident recordkeeping, and support workplace safety walk‑throughs and compliance.
  • Complete I‑9 audits and maintain compliant employee files.
  • Maintain independent contractor files and tracking.

Recruiting Coordination

  • Schedule interviews across multiple hiring managers and candidates.
  • Conduct reference checks and document results.
  • Manage candidate communication and the offer letter process.
  • Run phone screens for non‑exempt and junior roles as needed.

Onboarding and Employee Lifecycle

  • Run new hire orientation and complete the new employee checklist end to end.
  • Maintain accurate employee records in Rippling.
  • Prepare and distribute required notices and acknowledgments.

HR Operations and Projects

  • Reorganize and maintain the HR shared drive and filing systems.
  • Support recurring reports including headcount, HR cost reporting to HQ, expense reports.
  • Coordinate and track HR‑related training in support of ISO certification requirements, including training records, completion tracking, and audit readiness.
  • Document and improve HR processes and checklists.
  • Support ad hoc projects as assigned.
Qualifications
  • 3+ years of hands‑on HR experience performing benefits administration, invoice auditing, onboarding, and compliance tasks.
  • Direct experience with Rippling and/or SAP SuccessFactors.
  • Working knowledge of federal and California employment law including OSHA recordkeeping and workplace safety compliance, leave administration (FMLA, CFRA, PDL, ADA), I‑9 compliance, and benefits administration.
  • Demonstrated attention to detail and ability to manage recurring deadlines without prompting.
  • Bachelor's degree or equivalent experience.
Preferred Qualifications
  • Experience in a small to mid‑size company where HR is a team of two to four people.
  • Experience supporting training records and documentation under ISO 9001 or similar quality management certification.
  • Experience supporting finance or payroll processes.

Physical Demands and Work Environment
  • Frequent sitting; regularly use hands to handle or feel objects, tools, or controls; talk and hear; and perform analytical work or reports requiring focus while utilizing a computer.
  • Must be able to operate general office equipment.
  • Physical stamina to stand, reach, bend, lift, grasp, and kneel.
  • The employee must occasionally lift and/or move up to 30 pounds.
  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • The noise level in the work environment is usually quiet to moderate.

Base Salary Range

$60,000 - $80,000 USD. Individual offers are based on job‑related skills, experience, qualifications, work location, and market conditions. This range does not include bonus compensation or benefits, which are outlined during the offer process.
