Job summary

PlayCV is a nonprofit in Castro Valley seeking an HR Coordinator to support recruitment, onboarding, HRIS maintenance, compliance tracking, employee communications, and day-to-day HR operations within the employee lifecycle. The ideal candidate is organized, detail-oriented, customer service focused, and able to handle confidential information with professionalism in a fast-paced, mission-driven setting.

Strong experience with BambooHR and Google Workspace is preferred.

Qualifications

  • Two (2) years of administrative experience in Human Resources, recruiting, onboarding, or related office environment.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency with Microsoft Office and Google Workspace.
  • Experience working with HRIS systems; BambooHR experience is preferred.

Responsibilities

  • Post open positions on job boards and maintain recruitment advertisements.
  • Screen applications against minimum qualifications and coordinate interview scheduling.
  • Communicate with candidates throughout the hiring process.
  • Prepare hiring documents and onboarding packets.
  • Maintain applicant tracking records and recruitment files.
  • Assist with career fairs and recruiting events as needed.
  • Coordinate new hire onboarding, including Live Scan, TB clearance, I-9 verification, and required employment documentation.
  • Prepare employee files and ensure all required paperwork is complete.
  • Schedule and assist with new hire orientation.
  • Coordinate offboarding paperwork, exit checklists, and system access changes.
  • Enter and maintain employee information in BambooHR, Deputy, and other HR systems.
  • Process employee status changes, compensation updates, and position changes.
  • Maintain accurate personnel files and electronic records.
  • Assist with routine HR reports and data audits.
  • Track required certifications, trainings, and compliance deadlines.
  • Maintain HR records in accordance with policy and legal requirements.
  • Assist with document preparation for audits and regulatory reporting.
  • Prepare employment verification letters and other HR correspondence.
  • Monitor HR inboxes and respond to routine employee inquiries.
  • Serve as a first point of contact for employee questions regarding HR processes, benefits, policies, and procedures.
  • Direct employees to appropriate resources or elevate concerns to the HR Manager.
  • Assist with scheduling meetings, preparing documentation, and tracking follow-up items related to employee relations matters.
  • Coordinate employee recognition activities, appreciation events, and wellness initiatives.
  • Assist with internal communications and HR announcements.
  • Support employee engagement programs and team-building activities.
  • Maintain HR office supplies and forms.
  • Assist with special HR projects as assigned.
  • Perform other administrative duties to support the Human Resources department.

About PlayCV

PlayCV is a nonprofit organization dedicated to enriching the lives of Castro Valley students by providing high-quality afterschool programs rooted in joyful play, hands-on learning, and whole-child development.

We partner with elementary and middle schools within the Castro Valley Unified School District to deliver meaningful enrichment experiences that include arts, science, music, STEM, recreation, social-emotional learning, and academic support.

About the Program

The Full PLAY (TFP) is PlayCV’s afterschool program, operating from the last bell of the school day until 6:00 p.m. Each day begins with students checking in and receiving a nutritious snack. Students then rotate through enrichment classes, homework support, outdoor games, STEAM activities, and social engagement opportunities.

Position Summary

The HR Coordinator provides administrative and operational support to the Human Resources department throughout the employee lifecycle. Essential Job Functions
Recruitment & Hiring Support

Qualifications & Experience
Required

  • Knowledge of California labor laws.
  • Experience working in a nonprofit or educational environment.
  • Experience supporting payroll or benefits administration.

Physical Requirements
  • Ability to view a computer screen for extended periods of time
  • Frequent use of hands and fingers for typing, writing, and operating standard office equipment (computer, phone, printer)
  • Ability to communicate effectively in person, over the phone, and via virtual platforms
  • Occasional standing, walking, bending, and reaching to access office materials or equipment
  • Ability to lift and carry up to 15 pounds
  • Ability to sit for extended periods throughout the workday
  • Ability to attend occasional off-site trainings, school visits, or events as needed
Conditions of Employment
  • Hours may vary depending on the school schedule, student enrollment, staffing levels, and PlayCV program needs.
  • Ability to obtain and maintain criminal record clearance through the Department of Justice (DOJ). The HR department must analyze DOJ/FBI live scan reports in accordance with applicable Federal, State, and Local laws, as well as fitness for the position.
  • Negative TB test within the last 4 years
  • Able to travel to multiple work sites.
  • Must attend any PlayCV required training.
