Qualifications

  • High school diploma or equivalent with at least 1 year in admin, HR, payroll, recruiting, or related work.
  • Experience handling confidential information and maintaining organized records; able to meet deadlines using Office/Workspace tools.
  • Associate or bachelor’s degree, 2+ years HR experience, Paycom or healthcare experience, or SHRM-CP/PHR certification preferred.

Responsibilities

  • Post approved positions, maintain applicant records, schedule interviews, communicate with candidates, and prepare offer letters.
  • Coordinate background checks, drug screens, healthcare sanctions, references, and pre-employment items; track items and escalate delays.
  • Create employee profiles and onboarding workflows in Paycom or HRIS; support I-9, E-Verify, tax, direct-deposit and documents.
  • Coordinate onboarding, system access, first-day communication, and training assignments; ensure on-time completion.
  • Audit and maintain confidential personnel files, training records, payroll docs; address gaps and corrections.
  • Review timekeeping for missing punches, discrepancies; liaise with employees/supervisors before payroll deadlines.
  • Answer routine benefits and payroll questions using approved materials; support Paycom/HRIS use.

JOB DESCRIPTIONJob Title: HR CoordinatorDepartment: Human ResourcesReports To: Director of Human ResourcesFLSA Status: Non-ExemptEmployment Status: Part-TimeLocation: Austin-Area Locations; Multi-Site Support as AssignedSUMMARYThe HR Coordinator provides administrative and operational support to the Human Resources department across Infinite Recovery and assigned affiliated entities. This position supports recruiting, onboarding, employee records, training, timekeeping, benefits, HRIS, and compliance processes and serves as a first-line resource for routine employee questions. The HR Coordinator must maintain confidentiality, follow established procedures, and promptly escalate sensitive or higher-risk matters to the Director of Human Resources.ESSENTIAL FUNCTIONSPosts approved positions, maintains applicant records, schedules interviews, communicates with candidates, and prepares approved offer letters and pre-employment documents.Coordinates required background checks, drug screens, healthcare sanctions screenings, references, and other pre-employment requirements; tracks outstanding items and promptly escalates delays, discrepancies, or concerns.Creates employee profiles and onboarding workflows in Paycom or assigned HR systems and supports timely completion of Form I-9, E-Verify, tax, direct-deposit, policy, credential, and other required documents.Coordinates orientation, system access, first-day communication, and training assignments and follows up to ensure onboarding requirements are completed on time.Processes approved employee changes, including job title, supervisor, location, employment status, schedule, and demographic updates, and retains supporting documentation.Maintains complete, accurate, organized, and confidential personnel files and HR records, including licenses, certifications, training, health records, background checks, and other time-sensitive employment requirements.Audits employee personnel files, training records, payroll documentation, and other HR records to confirm completeness, accuracy, currency, and alignment with company policy and compliance requirements; coordinates corrections and escalates unresolved gaps.Maintains HR trackers, reports, calendars, and follow-up lists for renewals, evaluations, corrective actions, training, compliance deadlines, and assigned HR projects.Reviews timekeeping for missing punches, approvals, discrepancies, and routine exceptions; follows up with employees and supervisors before payroll deadlines and prepares approved change documentation.Answers routine employee questions using approved materials regarding timekeeping, PTO, payroll access, medical, dental, vision, HSA/FSA, retirement, employee-assistance, voluntary, and other ancillary benefits.Serves as a resource to employees who need assistance with Paycom or the assigned HRIS, including system access, profile updates, documents, benefit elections, training assignments, and other HR resources.Supports new-hire benefit enrollment, qualifying life events, leave, and separation workflows and refers plan interpretation, eligibility disputes, claims concerns, and complex benefit matters to the Director of Human Resources or designated resource.Responds promptly and professionally to routine employee and supervisor requests and supports HR communications, employee engagement, recognition, meetings, training completion, and assigned projects.Protects employee, applicant, payroll, benefits, and client information in accordance with confidentiality requirements, HIPAA, and 42 CFR Part 2, as applicable.Works independently within approved processes, travels between assigned locations as needed, and promptly escalates complaints or concerns involving employment, safety, privacy, wages, employee relations, or compliance.The job duties listed in this job description may not be inclusive of all requirements of this position. Experience handling confidential information, maintaining organized records, prioritizing deadlines, and using Microsoft Office or Google Workspace is required. An associate or bachelor's degree, two years of HR experience, Paycom experience, healthcare experience, or SHRM-CP/PHR certification is preferred. Reliable transportation is required for local travel between assigned locations.
