Job summary

Imaging Associates seeks an HR Coordinator to provide essential day-to-day support across recruitment logistics, onboarding, employee records, engagement, and benefits administration. The HR Coordinator provides essential day-to-day operational support to the HR Generalist across recruitment logistics, onboarding and separations, employee records management, employee engagement, and benefits administration. This role is critical to the smooth functioning of the HR department and to delivering excellent service to Imaging Associates’ approximately 120 employees across multiple locations. The HR Coordinator handles high-volume transactional work so the HR Generalist can focus on higher-level advisory, compliance, and leadership-support activities.

Essential Duties and Responsibilities
Recruitment Support
  • Post approved job vacancies on designated job boards and the company career page under the direction of the HR Generalist.
  • Screen applications against posted minimum qualifications under direction of the HR Generalist.
  • Coordinate interview schedules between candidates and hiring managers; manage candidate communications as assigned.
  • Initiate and track reference and background checks in accordance with company policy and applicable law (including FCRA requirements).
Onboarding & Separations
  • Support new-employee orientation sessions and coordinate related logistics.
  • Prepare and manage onboarding materials and employee welcome kits.
  • Ensure all new-hire paperwork is completed accurately and filed timely, including coordination of I-9 completion in accordance with federal law and company onboarding procedures.
  • Process employment separations and related documentation under the direction of the HR Generalist; assist with preparation of separation packets and COBRA notices as assigned.
Employee Records & HRIS
  • Maintain the integrity and confidentiality of the Human Resources Information System (HRIS); ensure accuracy and completeness of personnel files and employee records.
  • Update employee information such as job titles, compensation, and benefits elections under direction of the HR Generalist.
  • Audit personnel files for completeness and compliance on a scheduled cadence as directed.
Employee Engagement & Events
  • Support the planning and execution of special events including benefits enrollment, organization-wide meetings, employee recognition programs, morale initiatives (apparel, birthdays, anniversaries), holiday gatherings, and retirement celebrations.
  • Assist with organization of employee engagement activities and recognition programs under the direction of the HR Generalist.
HR Support & General
  • Respond to employee inquiries regarding HR policies, procedures, and programs; refer more complex questions to the HR Generalist.
  • Serve as a resource to applicants and employees on standard policies, benefits, and hiring processes.
  • Assist with timesheet and basic payroll-related inquiries and data entry under direction of the HR Generalist or payroll contact.
  • Support the HR Generalist in maintaining compliance with applicable federal, Alaska state, and company policies by accurately completing required documentation and processes.
  • Maintain the company intranet HR page content as directed by the HR Generalist.
  • Travel between Imaging Associates locations in Anchorage and surrounding areas as needed to support HR activities, orientations, and events.
  • Perform other duties as assigned.

Requirements

Education

Associate’s or Bachelor’s degree in Human Resources, Business, or a related field, or equivalent combination of education and experience.

Required Experience & Skills
  • Minimum 1–3 years of experience in HR coordination, recruitment coordination, or high-volume administrative support.
  • Strong organizational skills with proficiency in Microsoft 365 applications (Outlook, Excel, Word, SharePoint/Teams).
  • Ability to learn and become proficient with HRIS, applicant tracking systems (ATS), and payroll-related applications.
  • Excellent written and verbal communication skills.
  • Demonstrated high level of integrity and ability to maintain strict confidentiality.
  • Ability to work effectively in a fast-paced environment, multi-task, and manage competing priorities with strong attention to detail.
Preferred Qualifications
  • Healthcare industry or multi-site organizational experience.
  • SHRM-CP certification or active pursuit of SHRM-CP.
  • Prior experience supporting employee engagement events and recognition programs.
Knowledge, Skills, and Abilities
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Ability to anticipate needs and potential problems.
  • Ability to think critically and work independently while knowing when to elevate issues to the HR Generalist.

Employees are expected to use the card only for authorized business purposes, retain and submit receipts as required, safeguard the card from unauthorized use, and comply with all company expense policies. Misuse of the company credit card or failure to follow policy may result in disciplinary action, up to and including termination, and reimbursement of unauthorized expenses.
