Job Summary:
We are seeking a highly organized and detail-oriented HR Assistant & Office Administrator to support our HR department and manage daily office operations. This role is perfect for a proactive multitasker who thrives in a hybrid work environment and enjoys balancing HR administrative tasks with office coordination.
Key Responsibilities:
Assist with recruitment coordination (posting jobs, scheduling interviews, conducting reference checks).
Maintain employee records (digital and physical files) and ensure compliance with labor laws.
Support onboarding/offboarding (preparing new hire packets, conducting orientations, exit interviews).
Process HR documentation (contracts, benefits enrollment, performance reviews).
Assist with payroll coordination (timesheet tracking, liaising with accounting).
Manage front desk operations (handling mail/packages, answering phones).
Coordinate office supplies, equipment maintenance, and vendor relations.
Organize meetings, conferences, and company events (catering, logistics, scheduling).
· Scan, label, and store critical documents (invoices, contracts, compliance forms).
Ensure adherence to federal/state labor laws (postings, filings, I-9 verifications).
Serve as the first point of contact for employee HR inquiries (PTO, policies, benefits).
Assist with basic IT troubleshooting (liaising with IT support for office tech issues).
Required Skills & Qualifications:
Experience in HR administration, office management, or similar roles.
Familiarity with NetSuite and MS Office Suite.
Knowledge of labor laws and hiring best practices.
Strong organizational, communication, and interpersonal skills.
Ability to handle confidential information with discretion.
Comfortable working in-office 3 days per week (Woodcliff Lake, NJ).
Preferred Qualifications:
Associate’s/bachelor’s degree in HR, Business Administration, or related field.
Experience with payroll processing or benefits administration.
Working Conditions:
Hybrid schedule: 3 days in-office 2 days remote.
Occasional light lifting (office supplies, packages).
