We are seeking a highly organized, proactive, and detail-oriented HR & Administrative Coordinator to support the daily operations of our Ohio-based sales and service company. This position serves as an operational hub for the office while providing essential HR and administrative support to employees and senior management.
The ideal candidate is a strong multitasker with excellent communication skills, sound judgment, and the ability to prioritize responsibilities in a fast-paced environment.
Key Responsibilities
Administrative & Office Management
- Serve as the first point of contact by professionally handling incoming calls and greeting visitors.
- Maintain a clean, organized, and well-stocked office.
- Manage office supplies, groceries, tools, and other inventory.
- Coordinate business travel, including hotels, rental cars, and flights.
- Manage incoming and outgoing mail, packages, couriers, and express deliveries.
- Process company credit card expenses, verify receipts, and submit reimbursements for approval.
- Maintain accurate records of company assets, including vehicles, computers, phones, forklifts, and other equipment.
- Coordinate asset maintenance, transfers, and handover documentation.
- Manage utility accounts, invoices, and timely payments.
- Assist management with external service providers, vendor relationships, and contract renewals.
- Support basic accounts payable and receivable activities and communicate with the company’s bank as needed.
HR Support
- Assist with recruitment coordination, new-hire onboarding, and employee exit processes.
- Maintain accurate and confidential employee records and HR documentation.
- Track employee time, attendance, vacation, and leave requests to ensure accurate payroll information.
- Coordinate employee training, meetings, company events, and other HR activities.
- Support management with general employee and HR-related administrative needs.
Executive & Operations Support
- Provide direct administrative support to senior management and company leadership.
- Coordinate and follow up on important tasks and deadlines.
- Assist with special projects and other operational initiatives as assigned.
- Communicate effectively with internal departments, customers, vendors, utility providers, government agencies, and logistics partners.
Qualifications
- High school diploma or equivalent required.
- Associate’s or Bachelor’s degree in Business Administration, Human Resources, or a related field is preferred.
- 3–4+ years of experience in office administration, office management, HR coordination, or a similar role.
- Strong proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
- Experience with expense reporting, office automation/OA systems, or basic accounting software is preferred.
- Ability to quickly learn new software, systems, and processes.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- High level of discretion and integrity when handling confidential information.
