Job summary

Pay Rate: $20 - $22 per hour depending on experience

SUMMARY

The Human Resources Administrative Assistant provides administrative and operational support to the Human Resources function, with responsibility for maintaining accurate team member records, coordinating recruitment and onboarding activities, tracking compliance documentation, and supporting HR programs and communications. This role works closely with the Director of Human Resources and serves as a key support resource across the team member lifecycle while exercising discretion and professionalism in handling confidential information.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Coordinate administrative aspects of recruitment and onboarding, new hire documentation, background checks, and onboarding logistics
  • Maintain accurate and up-to-date electronic personnel files and HR records in accordance with company policy and legal requirements
  • Track and monitor required HR documentation and compliance items (e.g., I-9 documentation, acknowledgements, certifications), escalating issues or discrepancies as appropriate
  • Support new hire orientation, benefits communications, team member recognition initiatives, and internal HR communications
  • Serve as a first point of contact for routine HR inquiries, directing questions and issues to the appropriate HR resource when escalation or interpretation is required
  • Manage the administrative aspects of leave processes (including FMLA and other approved leaves) by tracking documentation, monitoring timelines, maintaining accurate records, and escalating questions or issues requiring interpretation.
  • Assist with HR projects, audits, reporting, and team member-related events, ensuring accuracy, timeliness, and follow-through
  • Maintain team member confidence and protect organizational operations by exercising discretion and safeguarding confidential human resources information
  • Perform other HR-related duties as assigned to support departmental and organizational needs.
POSITION REQUIREMENTS
QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Excellent communication, writing, interpersonal, organizational, and time-management skills are required.

The ability to work independently, manage multiple priorities, meet deadlines, and exercise sound judgment when handling sensitive and confidential information is essential to success in this role.

Proficiency with Microsoft Office (Word, Excel, and Outlook in particular) is required. Familiarity with Canva or similar tools for creating internal HR communications is preferred.

EDUCATION and/or EXPERIENCE

High School Diploma or GED equivalent required; some college coursework in Human Resources, Business Administration, or a related field preferred. One to three years of related administrative or human resources experience preferred, or an equivalent combination of education and experience.

LANGUAGE AND MATHEMATICAL SKILLS

Ability to read, write, and speak English and to comprehend instructions, correspondence, and human resources-related documentation.

Ability to communicate clearly, respectfully, and professionally with team members, managers, and guests in one-on-one and small group settings.

Spanish language skills are preferred to support effective communication with team members.

Ability to perform basic mathematical functions including addition, subtraction, multiplication, and division, and to calculate percentages and simple ratios as needed for administrative, payroll support, and reporting tasks.
