Job summary

The Logan Philadelphia is seeking an attentive Hotel Operations Assistant to support administrative, financial, and operational functions that keep the guest experience central.

In this role you will handle correspondence, guest inquiries, and project support, coordinating with managers and front-office teams to ensure smooth daily operations.

Qualifications

  • High school diploma or vocational secretarial.
  • Previous secretarial experience preferred.
  • Experience in hotel administration or hotel operation is a plus.

Responsibilities

  • Type correspondence, reports and forms and prepare simple written correspondence.
  • Respond to agent and guest requests for confirmations, special requests and billing folios.
  • Assist managers on projects and special events.
  • Support marketing and operations team on coordinating amenities for special packages.
  • Assist managers with copying, faxing, scanning and shipping needs
  • Review departure calls for customer care issues and remedy with the guest
  • Receive customer care issues and resolve or escalate to a manager; close within three days
  • Monitor Stay Experience platform; respond to guest reviews and name mentions
  • Make VIP reservations, set up amenities, and fill out comp forms with signatures
  • Review VIP guest log and ensure appropriate arrival and stay experience
  • Review guest special request log and ensure execution
  • Email arriving guests two days out with arrival details and responses
  • Participate in daily line-ups and share relevant details
  • Participate in monthly safety meetings and share follow-up
  • Make and issue Gift Certificate and keep GC log up to date
  • Monitor timecards for hotel operations hourly associates and Fair Work Week

Job Overview

At The Logan Philadelphia, the Hotel Operations Assistant brings diligence and care to a role that supports the hotel's administrative, financial, or operational functions, enabling the guest experience to remain the focus. Every interaction in this role contributes to the art-led, Philadelphia-rooted guest experience that makes The Logan Philadelphia a celebrated destination on the Benjamin Franklin Parkway.

  • Receive all customer care issues and resolve or send to the appropriate manager. Ensure all issues are closed within three days

  • Monitor Stay Experience platform, reviewing and responding to all guest reviews and tracking name mentions for hotel recognition.

  • Make all VIP and reservations and set up amenities and fill out comp forms and obtain signatures

  • Review VIP guest log and ensure an appropriate arrival and stay experience with notes/amenities

  • Review guest’s special request log and ensure execution of needs

  • Email all arriving guests two days out with arrival email and respond

  • Participate in daily line-ups, taking notes and communicating relevant details for the day’s operation

  • Participate in monthly safety meetings, taking notes and sharing follow-up.

  • Make and issue Gift Certificate and keep GC log up to date and make GC reservations

  • Monitor timecards for hotel operations hourly associates ensuring accuracy and following of Fair Work Week compliance.

  • Assist with any administrative requests from EC members

  • Professional and positive communication to both guests and fellow employees

  • Support daily operation by monitoring pending rooms, priority rooms, VIP requests and assisting as a liaison between housekeeping and front office operation.

Qualifications
Education/Formal Training

High school diploma or vocational secretarial.

Experience

Previous secretarial experience preferred.Prior experience in hotel administration or hotel operation (Housekeeping or Front Desk) is a plus.

Knowledge/Skills
  • Ability to type 60 WPM, Microsoft Word applications: Word, Excel, Publisher and PowerPoint.

  • Alphabetizing, grammar and punctuation skills. Standard business letter formats. Strong editing skills.

  • Excellent attention to detail and multi-tasking skills

  • Bending/kneeling - repeated bending and kneeling required while filing, Mobility - must be able to reach all areas of hotel to assist clients.

  • Occasional standing.

  • Occasional carrying and lifting of files and office items up to 25 lbs.

  • Ability to read contracts and letters are hand written, filing, using computer, checking diary.

  • Ability to communicate clearly with customers and other departments.

  • Ability to read manager's letters, help prepare contracts and proposals.
