The Hospitality Specialist provides exceptional hospitality, workplace experience, conference services, and operational support within a fast‑paced professional office environment. Serving as a key point of contact for clients, visitors, attorneys, executives, and employees, this role ensures that all reception, conference, hospitality, and workplace areas are maintained to the highest standards of service, presentation, and professionalism.

Key Responsibilities
Guest Experience & Reception Services
  • Deliver an elevated, concierge-level experience for clients, visitors, attorneys, executives, and employees.
  • Provide professional reception coverage and serve as the first point of contact for guests.
  • Greet and assist visitors, coordinate arrivals, issue visitor badges, and ensure adherence to visitor procedures.
  • Answer and direct incoming calls and inquiries with professionalism and efficiency.
  • Maintain a polished, organized, and welcoming reception area.
  • Anticipate guest needs and proactively coordinate services to enhance the workplace experience.
  • Monitor visitor schedules and upcoming meetings to ensure rooms, services, and hospitality requirements are prepared in advance.
Conference Services & Meeting Support
  • Prepare, inspect, and reset conference rooms according to detailed meeting specifications and service standards.
  • Coordinate room configurations, furniture arrangements, audiovisual equipment, presentation materials, and meeting supplies.
  • Provide food and beverage service, including continental breakfasts, hot breakfasts, catered lunches, executive meetings, and conference refreshments.
  • Ensure meeting rooms remain clean, organized, fully stocked, and ready for use throughout the day.
  • Assist with meeting execution, room turnover, post-event breakdowns, and room resets.
  • Troubleshoot basic audiovisual equipment and coordinate with technology support teams when necessary.
  • Respond professionally and efficiently to last‑minute meeting changes, special requests, and evolving priorities.
Hospitality & Workplace Services
  • Maintain exceptional presentation standards throughout client‑facing and employee spaces.
  • Conduct routine inspections of conference rooms, visiting offices, pantries, kitchens, wellness areas, and common spaces.
  • Ensure workspaces, visiting offices, and temporary seating areas are clean, organized, and stocked daily.
  • Assist with beverage, coffee, and hospitality services for guests and events.
  • Proactively identify and resolve workplace service issues before they impact employees or guests.
  • Support workplace experience initiatives and hospitality programs that enhance employee and client satisfaction.
Kitchen, Pantry & Inventory Management
  • Restock kitchens, pantries, beverage stations, coffee areas, and hospitality supplies.
  • Monitor inventory levels and communicate replenishment needs to leadership and vendors.
  • Maintain cleanliness, organization, and safety standards in all kitchen and pantry areas.
  • Receive, organize, and store catering deliveries, beverages, and office supplies.
  • Assist with inventory management and tracking of workplace and hospitality supplies.
Events & Hospitality Programs
  • Support internal meetings, client‑facing events, executive functions, wellness events, training sessions, and office celebrations.
  • Coordinate room setup, hospitality services, catering support, food and beverage presentation, and event logistics.
  • Partner with vendors and internal stakeholders to ensure successful event execution.
  • Provide occasional after‑hours or weekend coverage for firm‑sponsored events and special functions.
  • Assist with event breakdown and restoration of spaces following completion of activities.
Production & Office Services
  • Provide document production support, including printing, scanning, copying, binding, laminating, and finishing services.
  • Assist with preparation and assembly of presentations, meeting materials, client packages, training documents, and marketing collateral.
  • Operate, maintain, and monitor office production equipment, escalating service requests as needed.
  • Support mailroom, shipping, receiving, courier coordination, package distribution, and document delivery services.
  • Manage office supply inventories and assist with ordering and replenishment activities.
  • Ensure production and service requests are completed accurately and within established timeframes.
Operational Support
  • Provide cross‑functional support across workplace operations, hospitality, facilities, and office services functions.
  • Assist with workstation setups, office moves, furniture arrangements, supply deliveries, and special projects.
  • Utilize workplace technology platforms, visitor management systems, room reservation software, ticketing systems, and scheduling tools to manage requests efficiently.
  • Follow established procedures, service standards, and operational checklists.
  • Communicate completed work, outstanding requests, inventory needs, and facility concerns to appropriate team members.
  • Participate in cross‑training initiatives to provide seamless coverage across workplace operations and services.
  • Demonstrate flexibility and adaptability while managing multiple competing priorities.
Qualifications & Requirements
  • High School Diploma or GED.
  • Minimum of 1 year of work experience; client service‑oriented experience preferred.
  • Strong customer service skills, including tact and professionalism when handling client concerns.
  • Good verbal and written communication skills.
  • Strong attention to detail and ability to multitask in a fast‑paced environment.
  • Working knowledge of Microsoft Office, Outlook, Word, and Excel.
  • Ability to lift or move 40 lbs. or greater.
  • Ability to grasp, lift, or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand, or sit for an extended period of time.

The Compensation range for this role is up to $23.00 USD per hour. Actual compensation within this range will be dependent upon the individual's location, skills, experience, and qualifications.
