Job summary

The Omni Charlotte Hotel seeks a detail-oriented Catering and Convention Services Coordinator to support CCS activities with professional, timely information.

You will correspond with colleagues, vendors and clients, prepare reports and event sheets, and help coordinate space requests, site inspections, proposals and client communications to ensure flawless events and memorable guest experiences.

Qualifications

• Clear written and spoken English communication with guests, clients and staff.
• Proficiency in MS Word, Excel and PowerPoint is required.
• Delphi knowledge is a plus.
• Hospitality experience strongly preferred.
• Administrative experience is strongly preferred.
• Ability to multitask and complete tasks accurately and on time.
• Excellent attention to detail and customer service skills are required.

Responsibilities

• Correspond with colleagues, vendors and clients in a professional manner.
• Handle inquiry calls and qualify space requests; transfer to appropriate personnel.
• Maintain accurate trace files and communicate daily traces to CCS Managers.
• Prepare and distribute the Daily and Weekly Event Sheets and related reports.
• Organize pre-con collateral and setup for CCS leadership; assist with proposals.
• Attend meetings, take minutes, and distribute notes; maintain confidentiality.
