Job description

A Global Asset Management firm is seeking a Hospitality Associate to create an outstanding day-to-day workplace experience for our New York City employees. You’ll own our pantries, common areas, and conference rooms, keeping them clean, stocked, and guest-ready throughout the business day.

We’re looking for someone with a can-do attitude and a genuine service mindset, who believes no task is too small. Whether you’re early in your hospitality career or a seasoned pro, you’ll find a role where your work is visible and valued.

Major Responsibilities:
  • Pantry & Amenity Management:
  • Maintain kitchen and coffee bar areas, restock snacks and beverages, and track daily inventory
  • Have pantries, kitchens, and common areas clean, stocked, and ready before employees arrive
  • Monitor food and beverage usage and stay ahead of expiration dates on perishables
  • Identify, track, and resolve issues that affect the employee experience, and keep your manager informed of issues and resolutions
  • Set up and break down daily breakfast service, including receiving the caterer’s delivery, checking it against the order, and brewing and monitoring coffee throughout the day
  • Restock pantries across multiple floors on a set schedule, run and empty pantry dishwashers, and complete a final walkthrough before the end of the day
  • Coordinate group lunch orders: confirm participants, stay in close contact with vendors and delivery drivers, bring deliveries up to the office, and promptly notify employees of arrivals or any delays
  • Log new deliveries and stock in the inventory system, note what needs to be ordered, and complete an in-depth weekly inventory check of stock pantries and refrigerators
  • Meeting Support:
  • Prepare conference rooms before executive meetings as-needed, arrange equipment/supplies, coordinate catering deliveries, and restore rooms promptly after use.
  • Set up for large events and town halls, including moving furniture and bringing in additional chairs as needed.
  • Employee & Visitor Experience:
  • Greet employees as they arrive each day, ask for feedback, and keep common areas tidy.
  • Assist in welcoming candidates and VIP visitors, manage check-in procedures, issue visitor badges, and provide office orientation.
  • Facility & Vendor Coordination:
  • Report maintenance and housekeeping issues to your manager.
  • Help coordinate with service vendors and escort as needed.
  • Complete a brief facilities check when opening the office each morning, and immediately upscale any issues with power, plumbing, or access control to facilities and security.
  • Respond to facility requests such as desk and door issues.
  • Keep copy rooms tidy and stocked with paper, and empty shred bins into secured shred containers for scheduled shredding service.
  • Administrative & Back-Up Support:
  • Assist with incoming phone inquiries, mail/package sorting.
  • Provide cross-functional support for reception or office services teams.
  • Open and run the mailroom daily: receive and scan incoming mail and packages, sort and deliver them, unbox and organize office supplies, recycle packaging, and secure the mailroom at day’s end.
  • Handle outgoing mail and shipping, including applying postage, certified mail, and creating shipping labels and carrier pickups.
  • Qualifications:
  • Customer service experience in hospitality (hotel, restaurant, corporate dining), or experience working in a corporate shared services role.
  • Exceptional interpersonal skills making great connections with employees.
  • Strong communication and problem-solving skills, and the ability to pivot quickly between tasks
  • Experience using systems like Seamless, GrubHub and other delivery services.
  • Ability to stand and walk for extended periods and lift or move light office equipment up to 25-30 lbs
  • What Success Looks Like:
  • Contributing to the workplace culture and elevated daily experience.
  • A true ambassador of the organization for employees, executive management, and guests.
  • Consistently and proactively making improvements and adapt as needs and priorities change.
  • Ability to stock the kitchen efficiently and seamlessly pivot to assisting reception and welcome guests.

We also offer eligible employees a benefits package that includes health insurance, life and disability insurance, retirement benefits, paid leave and other employee benefit programs, subject to applicable eligibility requirements and the terms of the relevant plans and policies.

We anticipate the base salary of this role to be between $65,000.00-$85,000.00. In addition to a base salary, the successful candidate will also be eligible to receive a discretionary year-end bonus.
