Qualifications

  • Previous management experience in a veterinary hospital, medical practice, or related healthcare/retail setting (required)
  • Working knowledge of DEA and OSHA compliance requirements
  • Experience with inventory control, purchasing, and vendor negotiation
  • Proven track record recruiting, hiring, and building strong teams
  • Comfort managing budgets, reconciling cash/financial reports, and reviewing basic financial metrics
  • Excellent organizational and multitasking skills in a fast-paced environment
  • Strong written and verbal communication with a customer-service mindset
  • CVPM a plus, not required
  • Proficiency with Microsoft Office/Google Suite and veterinary practice management software

Your Impact as Hospital Manager
  • Lead Day-to-Day Financial Operations: Manage daily sales and cash reconciliation, deposits, accounts receivable and payable workflows, vendor payments, and payroll inputs. Work closely with the owner to support accurate bookkeeping, financial reporting, budgeting, and performance review.
  • Run the Clinic: Manage inventory, vendor relationships, equipment, and facility needs so the hospital never misses a beat.
  • Build the Team: Lead recruiting, hiring, onboarding, and scheduling to keep the clinic fully and appropriately staffed. Lead the new hires with on-boarding
  • Champion the Client Experience: Be the go-to problem-solver for clients and staff, and help grow the practice's reputation in the community.
  • Keep Us Compliant: Maintain DEA, OSHA, and radiation safety compliance so the hospital is always audit-ready. Keep up with DVM licenses and different memberships
Key Responsibilities
Financial & Administrative Operations
  • Reconcile daily/weekly sales reports and cash drawer counts; prepare accurate bank deposits
  • Run accounts receivable weekly; work with front desk to resolve unpaid client balances
  • Review and approve payroll inputs, including timesheets, PTO/sick time, bonuses, and employee changes; coordinate payroll processing with the clinic’s payroll provider and CPA; ensure vendor invoices are paid on schedule.
  • Monitor CareCredit and online pharmacy (client portal) usage and reconcile as needed
  • Review monthly financial reports and key practice metrics with the owner and CPA, identify operational issues, and implement agreed-upon improvements.
Inventory & Vendor Management
  • Manage day-to-day ordering and stock levels across pharmaceuticals, medical supplies, and retail products
  • Maintain vendor relationships (distributors, manufacturers, service providers) and negotiate pricing where possible
  • Perform routine and biennial inventory counts/audits; monitor and remove expired product on a monthly basis
  • Reconcile incoming orders against packing slips and update inventory records accurately
Compliance & Safety
  • Maintain DEA controlled-substance logs and inventory in partnership with the lead veterinarian
  • Keep OSHA programs current, including SDS sheets, PPE protocols, and safety training records
  • Maintain radiation safety compliance, including dosimeter tracking and required state reporting
  • Prepare for and respond to inspections or compliance reviews
Staffing & HR
  • Manage the full hiring cycle: postings, applications, interviews, references, and working interviews
  • Approve schedules and time-off requests; proactively manage staffing levels against patient volume
  • Support onboarding, training coordination, and performance conversations
  • Maintain accurate employee files and time-off records
Client Experience & Marketing
  • Serve as the primary point of resolution for client concerns that can't be handled by the care team
  • Encourage and monitor client reviews (Google, Facebook) and manage the clinic's online reputation
  • Oversee professional, on-brand social media presence and website updates
  • Support community outreach and client education initiatives
Facilities, Equipment & Systems
  • Coordinate equipment maintenance and repairs with manufacturers or third-party vendors
  • Manage practice management software, communication platforms, and security systems
  • Maintain organized supply storage and oversee clinic cleanliness standards
  • Manage software/IT vendor relationships for practice management and communication systems
